Job Title: Assistant Facilities Manager - Soft Services

JLL is seeking an Assistant Facilities Manager specializing in Soft Services to work closely with the India FM Lead and Atlassian Workplace Experience Team. This role focuses on creating and delivering exceptional workplace experiences for Atlassians Bengaluru site, with an emphasis on soft services management.

Key Responsibilities:

Soft Services Management:

• Supervise and coordinate all soft services, including cleaning, landscaping, pest control, waste management, and transportation.

• Oversee workspace management and site concierge activities.

• Manage service providers and handle complaints related to soft services functions.

Workplace Experience:

• Conduct regular workplace inspections focusing on soft services quality.

• Manage JIRA service desk requests related to soft services.

• Develop relationships with Atlassian and the Workplace Experience team to enhance service delivery.

Compliance and Safety:

• Ensure soft services comply with OH&S and environmental policies.

• Understanding of vendor compliance regulations, including labor laws, as they pertain to facility management and service contracts.

• Manage fire warden and first aid training programs.

Project and Financial Management:

• Oversee soft services aspects of workplace enablement for churn/relocation projects.

• Review operating expenses and implement cost-saving measures for soft services.

• Manage monthly finance accruals and produce commentary for soft services budget.

Administrative Leadership:

• Oversee contractor/vendor induction for soft services providers.

• Lead incident management related to soft services.

• Ensure accurate maintenance data for soft services equipment and processes.

Key Requirements:

• 3+ years of experience in soft services management within facilities or hospitality industries.

• Strong leadership skills with a focus on soft services team management.

• Excellent communication and interpersonal abilities.

• Proficient in budget management and financial reporting for soft services.

• Experience with flexible workplace environments preferred.
