Key Accountabilities:


Employee Onboarding

  • Onboarding formalities (soft onboarding which includes-(Welcome call and meet with New Joiner, Joining intimation to Payroll Partner about Joining and sharing basic information, handover to Manager)
  • Appointment letter creation on day 1 of the joining.


Induction

  • Conduct new joiner HR induction session on monthly basis. Make updations in the induction presentation as and when required.


Report Maintenance

  • Attrition analysis, Organizational structures, New Joiner Tracker and intimation to TA on joining of the candidate, HR master and similar report as and when required.
  • Well versed with Excel and Visio.



Payroll

  • Provide inputs to Payroll partner for salary processing
  • Validate data uploaded on the system at the time of salary processing
  • download salary register (existing and FNF), Employee master file from Zing & e-sep data
  • Tally headcount and salary hold cases, new joiner details and exit cases, salary register in comparison to last month's register
  • Check and validate basis inputs such as promotion, salary revision, transfer cases, joining bonus payout, bonus, reimbursement, any other rewards, rail pass, night shift allowance)
  • Check for any discrepancy and give a go ahead to HR Manager on the salary inputs
  • Check the Full and Final settlement input sent by payroll and give a go ahead to HR manager.


HR Operations Delivery


Ensure that all HR operations deliverables are effectively delivered through the HR shared services as per the defined SLA, covering, however not limited to:
Area payroll management & statutory compliance requirements are met
Employee record
Employee data management in our HR systems (Updations of data in BambooHR related to Salary and Title revisions, Reporting Manager Changes any other employment-related change)
Employee exit and settlement process ensuring an exit experience.
Issuance of all letter types (contracts, amendments, etc)

  • Point of contact for all employees for support pertaining to policies, procedures and process
  • Updation of data for additions, deletions, corrections on monthly basis
  • Renewal of insurance policies (Group Health Insurance, Group Personal Accident policy, Group Term Life Insurance, Office Asset policy, Gratuity)
  • Internal SPOC for all insurance related issues of employees and for the broker and TPA to interact with incase of any query/support.
  • Quarterly reporting of leave to department managers
  • Execute all background verification emails received
  • Prepare and Share PMO data to Finance
  • Share employee details to Admin for Birthday, Work Anniversary and Attendance register.


Training and Development

  • Generate reports and send mails to employees for completion of trainings.
  • Support Business to conduct Various trainings, workshops, Maintain Tracker.


Performance Management
Prepare Salary revision letters. Should be well versed with Mail merge.

Legal and Compliance
Co-ordinate with the compliance vendor as and when required and provide the necessary details

AdHoc Tasks


Support HR Manager and Business for any Adhoc work.



Skillset required

  • Excellent in MS office -Microsoft Excel, Word and Power-point and Visio.
  • Well versed with Mail merge


Person Specification


Degree in Human Resources Management or related field Up to date knowledge of Area HR policies, processes, and tools. Good verbal and written communication skills to communicate with multinational network individuals as well as the local agency. Proven experience of HR systems. Experience in Change and Ability to effectively work with teams remotely and the ability to adjust communication style for different situations and cultures Strong partnering and relationship building capabilities across a diverse international group. Able to understand the business and apply consistency and value adding HR initiatives. Experience in driving change and integration. Quick thinking and comfortable in a creative setting and a fast-paced environment where each day brings new challenges and rewards.

A self-starter; happy to pitch into the day-to-day necessary tasks and priorities long-term projects. Excellent work ethic and grounding of discretion and confidentiality.

Commercially astute. Able to interpret and analyze numerical data and information.


7+ years of experience in a HR role, with at least 4 years in a business partnering capability. Proven track record to implement tailored HR solutions, creating winning business synergies. Team management and a background in HR operations would be an added advantage. The ideal candidate will have HR transformational experience, preferably in a multinational shipping / port services environment.
