Job Title: Payroll Operations Specialist
Location: Karvenagar Pune
Department: Human Resources (HR) Shared Services
Reports To: Payroll Operations

Job Overview:

We are looking for a detail-oriented and dedicated Payroll Operations Specialist to join our HR Shared Services team. In this role, you will be responsible for ensuring the accurate and timely processing of payroll for employees across multiple business units, maintaining compliance with legal and company standards, and supporting payroll-related inquiries.

Key Responsibilities:

  • Payroll Processing: Manage end-to-end payroll processing for a designated group of employees, ensuring accuracy and timeliness of wage calculations, deductions, bonuses, and other payroll-related transactions.
  • Data Entry & Maintenance: Input, update, and maintain employee payroll data in the payroll system, including new hires, terminations, promotions, tax information, and benefit elections.
  • Compliance & Reporting: Ensure compliance with relevant labor laws, tax regulations, and company policies related to payroll processing. Prepare and review payroll-related reports for internal and external audits.
  • Issue Resolution: Act as the first point of contact for payroll-related inquiries from employees, HR teams, and external vendors. Investigate and resolve discrepancies related to pay, benefits, deductions, and taxes.
  • Tax Filing: Prepare and submit tax filings, including income tax, social security, and other applicable statutory deductions. Coordinate with external vendors or government bodies for tax reporting and reconciliation.
  • Benefits Administration: Work closely with the benefits team to ensure correct payroll deductions for employee benefits, including health insurance, retirement plans, and other applicable programs.
  • Payroll Reconciliation: Reconcile payroll accounts and identify any discrepancies. Work with Finance to ensure that payroll expenses are properly recorded and aligned with the companys financial records.
  • Confidentiality & Security: Handle sensitive employee information with the highest level of confidentiality and ensure that payroll records are securely maintained in compliance with data protection regulations.
  • Continuous Improvement: Identify areas for process improvement and assist in implementing best practices for payroll operations, automation, and efficiency.

Qualifications:

  • Education: Bachelor’s degree in Human Resources,
  • Experience:
    • Minimum 3+ years of experience in payroll processing, preferably in an HR shared services environment.
    • Familiarity with payroll software (e.g., Successfactor SAP, etc.).
    • Strong knowledge of labor laws, tax regulations, and payroll compliance.
  • Skills:
    • Excellent attention to detail and accuracy.
    • Strong communication skills to effectively interact with employees, HR, and management.
    • Proficiency in Microsoft Office Suite, especially Excel (e.g., VLOOKUP, pivot tables).
    • Ability to work in a fast-paced environment and manage multiple priorities.
  • Key Competencies:
    • Problem-solving and analytical thinking.
    • High level of confidentiality and integrity.
    • Strong organizational and time management skills.
    • Ability to work independently as well as part of a team.

Preferred Skills:

  • Certification in payroll (e.g., Certified Payroll Professional - CPP).
  • Experience working with HRIS or payroll systems in a shared services environment.
  • Familiarity with global payroll systems and multi-country payroll processing (if applicable).
