Job Description

Key Responsibilities:

  1. Schedule Management:
    • Efficiently manage and maintain the Director's daily calendar to ensure proper prioritization and optimal time management.
    • Organize and schedule meetings, appointments, and events while ensuring no conflicts.
    • Ensure 100% accuracy in calendar management and scheduling.
  2. Operational Oversight:
    • Monitor and supervise daily operational activities to ensure efficiency and compliance with set targets.
    • Collaborate with production and marketing teams to track and ensure the achievement of their respective targets.
    • Evaluate the operational targets, ensuring a minimum 95% achievement rate, with 100% KPI performance for meeting targets.
  3. Department Collaboration:
    • Facilitate timely and accurate communication between various cross-functional teams and departments.
    • Proactively resolve communication breakdowns to maintain smooth workflows.
    • Track and report improvements in communication and the number of issues resolved per month.
  4. Administrative Support:
    • Provide administrative assistance to the Director, including drafting professional correspondence, preparing presentations, and organizing meetings and events.
    • Ensure the accuracy and timeliness of all correspondence (emails, letters, reports) delivered.
    • Organize and schedule meetings ensuring they start and end on time, with attention to detail.
    • Collect feedback on the quality and effectiveness of presentations prepared for meetings.
  5. Information Management:
    • Maintain confidential records and files with high levels of accuracy and security.
    • Ensure that all documents and records are easily accessible within specified timeframes and are free from discrepancies.
    • Manage and update systems to ensure accuracy and ease of access to critical information.
  6. Reporting:
    • Prepare and assist with the creation of reports, presentations, and analyses as required by the Director.
    • Ensure the preparation of all reports and analyses is free from errors, delivered on time, and meets quality expectations.
    • Collect feedback from stakeholders on the quality and effectiveness of presentations and reports.
