We are seeking a highly skilled Project Management Office (PMO) professional to support the Integrated Digital Solutions / IT Infrastructure Team. The role involves managing tender strategy, contract management, vendor coordination, procurement processes (PR & PO), cloud infrastructure cost forecasting, and audit compliance. The ideal candidate will have a strong background in IT infrastructure procurement, financial planning, and governance.


Key Responsibilities:

1. Tender Strategy & Contract Management

  • Develop and execute tender strategies in alignment with IT infrastructure objectives and company procurement policies.
  • Work closely with technical and commercial teams to define tender requirements, scope of work, and evaluation criteria.
  • Manage the entire tendering process, including RFIs, RFPs, and bid evaluations, ensuring compliance with regulatory and financial standards.
  • Lead contract negotiations, ensuring optimal pricing, risk mitigation, and favorable service level agreements (SLAs).
  • Maintain a centralized contract repository, tracking key contract milestones, renewals, amendments, and vendor obligations.
  • Ensure contractual compliance and minimize risks associated with IT service agreements.

2. Procurement & Vendor Management (PR & PO Process)

  • Oversee the end-to-end procurement process for IT services, software, hardware, and cloud infrastructure.
  • Coordinate with procurement, finance, and IT teams to manage PR (Purchase Requisition) creation and PO (Purchase Order) issuance.
  • Work with ERP systems (SAP, Oracle, or similar) to ensure accurate purchase tracking and financial reporting.
  • Conduct vendor due diligence and onboarding, ensuring alignment with company policies and regulatory requirements.
  • Maintain supplier relationships, monitor vendor performance, and ensure adherence to contract terms and SLAs.
  • Identify opportunities for cost reduction, process improvements, and efficiency optimization in procurement.

3. Cloud Infrastructure Costing & Forecasting

  • Work with cloud architects to estimate and optimize cloud infrastructure costs.
  • Develop cloud expenditure reports, ensuring alignment with budget allocations.
  • Ensure accurate financial forecasting based on contractual agreements, vendor pricing, and projected usage.
  • Analyze and recommend cost-saving measures such as:
    • Rightsizing cloud resources
    • Utilizing reserved instances and discount programs
    • Optimizing licensing strategies
  • Provide insights and recommendations for cost management in Microsoft Azure and Local Cloud environments.
  • Track actual vs. forecasted cloud expenses, identifying and mitigating budget overruns.

4. Audit Compliance, Governance & Risk Management

  • Ensure compliance with internal audits, IT governance frameworks, and financial controls.
  • Develop and maintain comprehensive documentation for procurement, vendor contracts, cloud expenses, and financial approvals.
  • Support regulatory and compliance audits related to IT infrastructure and procurement processes.
  • Identify and mitigate risks associated with IT contracts, procurement, and financial transactions.
  • Establish best practices for governance and reporting, ensuring transparency and accountability in IT spending.

5. Financial Planning & Budget Control

  • Assist in the team forecasting annual IT budgets, ensuring alignment with strategic goals and cost controls.
  • Monitor IT spending trends and provide insights for budget optimization.
  • Work closely with finance teams to track capital and operational expenses (CapEx & OpEx).
  • Provide variance analysis and recommendations to optimize spending.

Qualifications & Skills


Must-Have:

  • Bachelors/Masters degree in Business Administration, IT, Finance, Supply Chain Management, or a related field.
  • 8+ years of experience in PMO, IT procurement, financial governance, or contract management.
  • Strong understanding of IT infrastructure, cloud computing (Azure, Local Cloud), and vendor ecosystems.
  • Expertise in contract negotiation, cost management, and procurement processes.
  • Proficiency in ERP tools (SAP, Oracle) and cloud cost management tools.
  • Knowledge of financial forecasting and IT budget planning.
  • Experience in audit compliance, governance, and risk management.
  • Excellent stakeholder management, communication, and problem-solving skills.

Preferred:

  • Certification in PMO, PMP, ITIL, or Cloud Financial Management.
  • Experience in large-scale IT infrastructure projects and digital transformation initiatives.
  • Familiarity with financial models for cloud costing, cost benchmarking, and contract lifecycle management tools.
