Job Summary:
- The Manager - Admin & IT (Pan India) base location-Noida, is responsible for overseeing office administration, facility management, housekeeping, pantry services, IT infrastructure, and ensuring smooth operations across all locations.
- The role involves managing vendors, optimizing processes, and maintaining IT assets, networks, and security protocols.
Key Responsibilities:Office Administration & Maintenance:
- Ensure efficient office operations, maintenance, and upkeep of all office spaces across locations.
- Manage housekeeping, pantry services, and ensure hygiene and cleanliness standards are maintained.
- Oversee procurement and inventory management of office supplies, stationery, and pantry items.
- Coordinate with facility management vendors for repairs, maintenance, and office safety compliance.
- Ensure security and access control systems are properly managed.
Housekeeping & Pantry Management:
- Supervise housekeeping staff to maintain hygiene and cleanliness.
- Ensure timely availability of pantry supplies and oversee pantry operations.
- Monitor pantry vendors and ensure service quality.
IT Infrastructure & Support:
- Oversee IT asset management, including desktops, laptops, printers, and networking equipment.
- Ensure seamless internet connectivity and troubleshoot network-related issues.
- Work with IT vendors to maintain hardware, software, and security systems.
- Implement data security protocols and ensure compliance with IT policies.
- Provide IT support to employees and escalate issues to external vendors when necessary.
Vendor & Procurement Management:
- Identify, evaluate, and negotiate with vendors for office maintenance, housekeeping, IT services, and other administrative needs.
- Ensure cost-effective procurement and contract management.
- Monitor vendor performance and compliance with SLAs.
Compliance & Safety:
- Ensure compliance with local and national regulatory requirements related to office operations.
- Implement workplace safety measures and emergency preparedness plans.
- Maintain records related to asset management, IT security, and compliance.
Budget & Cost Control:
- Prepare and monitor budgets for administration and IT expenses.
- Identify cost-saving opportunities without compromising quality.
- Maintain financial records and provide reports as needed.
Required Skills & Qualifications:
- Bachelor's/Master's degree in Business Administration, IT, or related field.
- 8+ years of experience in administration, facility management, and IT operations.
- Strong knowledge of IT infrastructure, networking, and system security.
- Experience in vendor management, procurement, and contract negotiations.
- Ability to handle multiple locations and manage operations remotely.
- Excellent problem-solving, communication, and leadership skills.
- Strong organizational and time-management abilities.
Work Environment & Travel:
- This role requires travel across multiple office locations in India(when required).
- May involve working beyond regular office hours for urgent requirements.
Preferred Qualifications:
- Experience in handling IT infrastructure and office administration for a multi-location organization.
- Familiarity with workplace automation tools and IT helpdesk software.
- Strong understanding of compliance and safety regulations.
