Job Description

Elevate is recruiting an Accounts Payable Specialist to work with the Finance support team to support in assisting a client having offices worldwide. This is a highly visible position with significant growth opportunities.

Specifically, the Accounts Payable Specialist will

Review, verify, and process invoices for payment, ensuring accuracy and compliance with firm policies.
Obtain approval from authorised person before processing invoices.
Prepare and execute payment runs, including checks, electronic transfers, and ACH payments.
Differentiate operational and client billable expenses. Add disbursements to billable projects in accounting/practice management systems.
Upload AP invoices/expense receipts to DMS, saving disbursement invoices to applicable matter folder.
Maintain accurate and up-to-date accounts payable records, including filing and documentation.
Handle queries from internal stakeholders and vendors received in AP mailbox.
Reconcile accounts payable transactions and resolve any discrepancies.
Be responsible for Implications of GST/VAT/Sales Tax in supplier invoices.
Create accruals for outstanding expenses and posting relevant journals.
Ensure all accounts payable activities comply with relevant laws, regulations, and industry standards.
Handle urgent check/ACH/EFT payment requests - uploading payment transactions to bank.
Call vendors/internal stakeholders to verify banking details over the call before adding new vendors.
Issue remittance advice and EFT confirmation receipts post payment.
Review and process employee expense reports, ensuring compliance with firm policies. Add expense receipts received from stakeholders to expense management tool.
Administer expense reimbursement tool - Add/remove users, provide delegate access.
Follow-up with approvers to approve pending expense reports.
Coordinate with HR, submit reimbursable expenses to be added in pay-run.
Suggest ideas to automate the process when needed.

Skills for success

Have advanced knowledge of MS Word Excel, and good knowledge of other accounting and practice management tools using by law firms worldwide.
Possess strong accounting knowledge.
Possess extensive experience in handling business and finance operations in international firms, preferably law firms.
Can work collaboratively with team members to ensure the provision of first-class support services to customer.
Can adapt any process change in minimal period and can deal with pressures of high volumes.
Capable of multi-tasking when needed.
Flexible in approach to increase of volume outside of shift hours.
Effective time management skills.
Professional approach to problem solving.
Good decision-making abilities keen eye for detail.

Experience

5-7 years of experience working as an AP specialist of a global organization, preferably law firms.
Fluent in written and oral communication in English.
Advanced knowledge of MS Applications, more specifically Excel.
Knowledge of Accounting tools such as ActionStep, Xero, etc.
