Job Description

Job Overview:


Electrica Engineers Pvt Ltd is seeking an experienced and organized Assistant Manager for the Human Resources Department. The ideal candidate will be responsible for managing Talent Acquisition, Employee Onboarding, Performance Management, Payroll, and Employee Benefits Administration. The Assistant Manager will work closely with senior management and cross-functional teams to ensure smooth HR operations, compliance with company policies, and support employee development initiatives.

Key Responsibilities:


Talent Management

  • Recruitment and Talent Acquisition:
    • Develop and maintain relationships with recruitment agencies and job portals to source qualified candidates.
    • Conduct job postings and manage applications through company-approved platforms (e.g.,Naukri, LinkedIn).
    • Screen and shortlist candidates for interviews based on job specifications and qualifications.
    • Maintain a talent pool database for future job openings.
  • Interview Process Management:
    • Coordinate with department heads to schedule interviews and ensure timely feedback.
    • Conduct HR rounds of interviews, assessing candidates for cultural fit and alignment with company values.
    • Ensure that all interview documentation is completed and stored securely in compliance with data protection regulations.

Onboarding and Employee Induction

  • Employee Onboarding:
    • Manage the end-to-end onboarding process for new hires, including document collection, background checks, and verification.
    • Ensure new hires are set up with necessary equipment, login credentials, and introductory meetings with relevant teams.
    • Conduct onboarding orientation sessions to familiarize new employees with the company's values, culture, and policies.
    • Coordinate with IT and Admin departments to ensure smooth integration of new hires into the company's systems.
  • Confidentiality Agreements:
    • Draft and implement confidentiality agreements for employees and contract laborers to protect sensitive company information.
    • Ensure that all new employees sign confidentiality agreements as part of the onboarding process.
    • Monitor compliance with confidentiality agreements and address breaches promptly.
  • Code of Conduct Creation and Implementation:
    • Develop, review, and implement a comprehensive Code of Conduct for employees that outlines expected behavior, ethical standards, and company values.
    • Communicate the Code of Conduct to all employees, ensuring they understand its importance and the implications of non-compliance.
    • Regularly review and update the Code of Conduct to reflect changes in company policies and legal requirements.

Performance Management

  • Attendance Management:
    • Oversee and manage the attendance system, ensuring that all employees are accurately recording their time in and out.
    • Monitor daily attendance reports, addressing irregularities such as late arrivals, absenteeism, and overtime.
    • Ensure that all leave applications (sick, vacation, etc.) are submitted and processed in accordance with company policy.
    • Coordinate with payroll to ensure attendance data is correctly integrated into the payroll system for accurate salary calculations.
    • Implement and maintain a biometric or digital attendance system to streamline and automate the attendance tracking process.
  • Appraisals and Performance Reviews:
    • Coordinate the annual and mid-year performance appraisal processes for all employees, ensuring timely completion by managers and department heads.
    • Manage the documentation of performance reviews, ensuring all records are kept securely and in compliance with data protection regulations.
    • Identify and communicate opportunities for improvement, development, or promotions based on appraisal outcomes.

Compensation and Benefits

  • Payroll Management:
    • Manage the payroll process, ensuring timely and accurate salary disbursement to all employees.
    • Coordinate with the finance department and attendance system to ensure all components (leaves, overtime, bonuses, etc.) are accounted for in payroll.
    • Resolve any payroll discrepancies or employee queries related to salary payments.
  • Benefits Administration:
    • Oversee employee benefits programs, including health insurance, retirement plans, and any other company-sponsored benefits (e.g., PT/PF/ESIC/WC).
    • Maintain accurate and up-to-date records for Provident Fund (PF), Employees' State Insurance Corporation (ESIC), and Workmen's Compensation (WC).
    • Ensure timely and accurate filing of PT (Professional Tax), PF, ESIC, and WC returns as per statutory requirements.
    • Conduct regular audits of PT/PF/ESIC/WC data to ensure compliance with legal obligations and internal policies.
    • Ensure employees are informed about the available benefits and assist them in enrolling in these programs.
    • Conduct periodic reviews of benefit packages to ensure competitiveness and alignment with industry standards.
    • Manage benefits-related claims (insurance, retirement, etc.) and ensure timely resolution.
  • Diwali Bonus Calculation & Certification:
    • Oversee the calculation of Diwali bonuses for eligible employees in alignment with company policy and government regulations.
    • Ensure the accuracy of bonus certifications and coordinate with finance and HR teams for timely disbursement.
    • Ensure compliance with statutory requirements related to bonus distribution.

Employee Exit and Offboarding

  • Exit Process:
    • Manage the entire employee exit process, including exit interviews, clearance procedures, and final settlements.
    • Conduct exit interviews to gather feedback from departing employees and share insights with management for potential improvements.
    • Ensure all company property is returned and access (digital and physical) is revoked before an employees last day.
    • Coordinate with payroll and finance to ensure accurate calculation of final settlements (gratuity, leave encashment, etc.).

Succession Planning & Strategy

  • Succession Planning:
    • Identify key positions and high-potential employees for succession planning across the company.
    • Work with HODs to create career development plans for key talent, ensuring they are prepared to take on higher roles.
    • Ensure the development of leadership skills through mentoring, coaching, and leadership programs.

Desired Qualifications:


  • Education:
    • MBA in Human Resources, MPM (Master of Personnel Management), MSW (Master of Social Work) in HR, or a related field.
  • Experience:
    • 11 to 14 years of experience in Talent Management, Performance Management, and Employee Benefits Administration, with a proven track record of managing HR functions at a strategic level.

  • Communication: Strong verbal and written communication skills for effective interaction with employees, management, and external partners.
  • Problem-Solving: Ability to handle HR-related issues and conflicts with a solution-oriented approach.
  • Organizational Skills: Excellent time management and organizational skills to manage multiple HR functions simultaneously.
  • Attention to Detail: High level of accuracy in handling employee data, payroll, and benefits administration.
  • Compliance Knowledge: In-depth understanding of labor laws, statutory compliance, and HR regulations.
  • Employee Relations: Ability to maintain a positive and collaborative environment, ensuring employee engagement and satisfaction.
