Job Summary:
The HR and Administration Associate will play a key role in supporting the human resources and administrative operations within a fast-paced IT company. This role involves assisting in recruitment, employee relations, office management, and ensuring efficient coordination of both HR and administrative functions to support the company's technological and workforce goals.
Key Responsibilities:
Human Resources:
Recruitment & Onboarding:
Assist in posting job vacancies on various tech job boards and social media platforms.
Support the recruitment process by screening resumes, scheduling technical interviews, and conducting reference checks.
Ensure a smooth onboarding process, including setting up new employees with the required software tools and IT resources.
Prepare employment contracts and onboarding documentation, ensuring compliance with company policies and legal requirements.
Employee Records & HR Systems:
Maintain employee data within the companys HRIS, ensuring accuracy in records such as payroll, leave, and benefits administration.
Assist in updating employee records related to certifications, IT tools, and technical skills.
Support the implementation of performance management software and coordinate with IT to troubleshoot any HR system issues.
Employee Relations & Engagement:
Serve as a point of contact for employee queries regarding policies, benefits, and HR systems.
Help in organizing tech-focused employee engagement activities, hackathons, and team-building events.
Assist in managing grievances and addressing employee concerns with a solutions-oriented approach.
Compliance & Policy Management:
Ensure compliance with company policies, data protection regulations (e.g., GDPR), and local labor laws, particularly concerning IT-related working conditions.
Support in drafting, revising, and communicating HR policies that align with the IT industry standards and practices.
Payroll & Benefits Support:
Coordinate with the payroll team to ensure accurate compensation, bonuses, and stock options for IT staff.
Assist in administering benefits packages, including health insurance, wellness programs, and professional development allowances for tech employees.
Administration:
Office & IT Resource Management:
Oversee the procurement of office supplies, technical equipment, and software licenses.
Coordinate with the IT department for the maintenance of computer hardware, software, and network resources.
Ensure the office environment is optimized for both in-office and remote tech teams.
Travel & Event Coordination:
Arrange travel and accommodation for employees attending tech conferences, client meetings, or training.
Assist in organizing company events, including tech workshops, seminars, and product launch events.
Documentation & Reporting:
Maintain organized and accessible administrative records, including legal documents, vendor agreements, and technical certifications.
Prepare reports on HR metrics, IT resource allocation, and operational efficiency to present to senior management.
Vendor and Service Coordination:
Manage relationships with vendors supplying IT equipment, office hardware, and other services critical to the company's operations.
Ensure timely renewal of contracts for software licenses and IT support services.
