Job Role:

Duties & Responsibilities

Soft Services

• Ensure proper maintenance and upkeep of the facility including Soft services to ensure high standard of housekeeping.
  Ensure Proper documentation, Inventory management, Mail Room records, Meeting Room arrangement, Client visit cooridination, Staff trainings, ensure Labor compliances etc.
  Coordinate with vendor for day to day operations.
  Planning and Coordination for office relocation / movement.Ordering Office and Printing Stationery. Tracking inventory, processing Invoices.

Hard Services

• Ensure timely completion of all minor repair/maintenance jobs. Preventive Maintenance of all equipments to be carried out as per PPM planner.
  Coordinate with all the Vendors & Contractors for day-to-day activities.
  Ensure upkeep of technical Equipment's & Rooms. I.e. DG sets, Transformer, Lift, Panel Rooms, UPS room. Electrical Floor Panels Room, Distribution Boards, AHU Rooms, HVAC's. Plumbing Lines & fittings etc. Support LAB owners for the installtion and replacement of Light fittings.
  Coordinate with project team for the execution of project as per Signify standard and agreed timeline.
• Single point of onsite contact to ensure project execution and material as per agreement at site.

Security Services

• Ensure Security muster, deployment and make sure to document any penalties/comments for the improvement in security services. Monthly vendor audit /performance matrix to assess the performance of site staff and operational team. Security Manager or Local Security Champion of the Facility is being updated on the clients/VIP visits, Security risk, Govt. security guidelines. Issuence of Access card, Visitor Card and maintain proper records and inventory. Ensure the record and follow of inward & outward ( returnable , Non Returnable) material gate passes. Lost & found assets tracking /investigation.

Inventory & Invoices

• Inventory management to ensure sufficient stock at site for smooth operations i.e. Electrical material, Plumbing material & Consumables material.
  Coordinate with vendors for adhoc jobs to for smooth site operations.
• Check and submit Lease and FM realted invoices as per Signify standard for further processing. Maintain invoice tracker.

HR Support

Supporting HR for new joining & exits employees formalities and organizing office events like Birthday parties, Festival celebrations, CSR activities. Etc.
First Aid records and Medicines reports are taken in daily basis.
Seat Allocation to new joinee, Interns and Trainees.
Maintaining SAS and Floor occupany to check the seat utilization.

QHSE

• Ensure accident or crisis management is addressed immediately as per Signify standard.
  To Follow Signify QHSE standrads and maintain all necessary documentation.
• Log day to day operation calls in FM24 tool and ensure timely closure of all complaints as per SLA.
• Risk assessment of site. Hard and Soft Services Audit.

Desired Role:

• Candidate should have experience managing corporate events , trainings, seminars .
• Strong Communication skills are required.
• Should be available to join immediately or within 15 days.
