Executive - Dispatch & Logistic

Role & responsibilities

• Inventory Management:
• Receive and record incoming stock materials and products.
• Maintain accurate and up-to-date inventory records.
• Conduct regular stock audits and reconcile any discrepancies.
• Ensure proper storage of products with appropriate labelling and classification.
• Monitor stock levels and place orders to replenish supplies as needed.
• Dispatch Operations:
• Prepare goods for dispatch based on customer orders and delivery schedules.
• Coordinate with the logistics team for timely dispatch and delivery.
• Ensure proper packaging of goods to avoid damage during transportation.
• Maintain accurate dispatch records and update relevant databases or systems.
• Handle dispatch documentation including invoices, packing lists, and delivery notes.
• Coordination and Communication:
• Work closely with the procurement and sales teams to ensure alignment on inventory levels and delivery schedules.
• Coordinate with transporters and vendors to arrange timely pickup and delivery of goods.
• Communicate with customers regarding delivery status and resolve any dispatch-related issues.
• Compliance and Safety:
• Ensure compliance with all relevant health, safety, and environmental regulations.
• Maintain cleanliness and safety standards within the store and dispatch area.
• Implement and enforce proper stock-handling and storage procedures to prevent damage or loss.
• Reporting and Documentation:
• Prepare daily/weekly/monthly inventory and dispatch reports.
• Maintain records of all stock movements, including transfers, returns, and discrepancies.

Preferred candidate profile

Experience in inventory management, logistics, or warehousing.

Proficient in Microsoft Office (especially Excel), and warehouse management systems (WMS).

Strong communication skills to liaise with internal teams and external vendors.

Excellent attention to detail and ability to manage multiple tasks simultaneously.

Ability to troubleshoot and resolve issues related to inventory and dispatch.
