Job Description

Educational Qualification:

  • Graduate degree in Engineering, Commerce, Law or Management.
  • Certification in contracts and negotiation.
  • Experience in working in SAP MM, SAP Ariba and Workflow driven Shared Services Environment.
  • Exposure to AI/Automation.
  • Advanced user of Excel functions.

Experiences:

  • 7-8 years of total experience
    • More than 3 years of experience in managing team preferably in a GCC or Shared Services context.
    • 4-5 years of experience in working in Projects, Assets, Infrastructure Manufacturing, Services organization in commercial and contracts department.
    • 4+ years of experience of managing BG administration for buy side.
  • Exposure to working in Indian conglomerates and working practices in promoter led organizations.
  • Experience and understanding of key documentation requirements for BG / PBG / ABG creation.
  • Experience in regulatory, statutory and legal aspects of BG administration.
  • Experience of using BG management workflow tools.
  • Good coordination and liaising experience through working with multiple departments and suppliers.
  • Experience of monitoring transactional data MIS, reporting of SLA / KPI and driving continuous improvement.
  • PowerPoint presentation creation and delivery capabilities.
  • Exposure to work in SharePoint / Tool based environment and project management.

Operations Management
  • Work with Tower Lead - Contract Management in the design of BG management. transactional support services at GCC.
  • Lead development of policies and SOPs for BG management.
  • Drive development of user guides and training material for BG management.
  • Be accountable for services operations, deliverables and outcomes required by the BU. assigned within the framework of GCC Scope and SLA for BG management.
Transition and Operations Stabilization
  • Support Tower Lead - Contract Management in the finalization of detailed process design for BG management transactions support services.
  • Responsible to update policies, SOPs SOW and SLA / KPI framework as and when needed.
  • Lead the transition and stabilization of process activities related to BG management to GCC.
Customer and Stakeholder engagement
  • Drive the implementation of a communication model - including ad-hoc / informal tele conversations/ face to face meetings, structured Ops review update to all stakeholders.
  • Drive coordination and provide necessary BG/ ABG/ PBG formats as per BU / Bank requirements to all suppliers with PO confirmation.
  • Ensure internal stakeholder signoff on existing and revised SOP/ SLA s and process change requests related to BG management.
  • Coordinate with Financial Shared Services team, Business Finance team and Legal team to resolve any BG related issues.
Operational Delivery and Service Excellence
  • Ensure all BG/ ABG/ PBG documentation received from vendors is maintained and uploaded against the relevant PO / Contract.
  • Drive tracking and monitoring of BG/ ABG/PBG validation / expiry tracking to notify vendors in advance for resubmission of renewed documents.
  • Monitor delays in submission of BG/ ABG/ PBG by supplier, status of escalation status and initiate necessary actions.
  • Ensure timely release of periodic MIS and report creation for all BG. ABG / PBG under management as per key review parameters.
  • Ensure highlighting of deviations, delays or key risks as per agreed contractual terms and conditions for BU / buyer attention and consideration.
  • Ensure timely alerts and notifications for all BG/ PBG/ ABG extension / expiry / changes and supplier non-compliance.
People and Performance Management
  • Lead and mentor the BG management specialists, fostering a high-performance culture.
  • Set clear performance goals for team members and conduct regular evaluations.
  • Provide coaching and development opportunities to enhance team skills and capabilities.
Operations Process Improvement and Knowledge Management
  • Identify opportunities for process improvements related to management of BGs.
  • Identify and support in implementation of best practices and innovative solutions to enhance operational efficiency and effectiveness.
  • Maintain a centralized knowledge repository for training materials, performance metrics, and process documentation to support continuous improvement and knowledge sharing.
