Accounts Executive- Fleet Management

Job Summary:

The Accounts Executive for Fleet Management is responsible for managing and recording all financial transactions related to the companys fleet operations. This role involves monitoring fleet expenses, handling vendor payments, preparing financial reports, and ensuring compliance with financial regulations.

Key Responsibilities:

1. Fleet Expense Management:
• Record and monitor all expenses related to fuel, maintenance, repairs, insurance, and vehicle leasing.
• Verify and process invoices related to fleet operations.
• Track vehicle depreciation and calculate asset valuation.
2. Vendor & Supplier Payments:
• Manage payments to vendors for fleet services, maintenance, and fuel suppliers.
• Maintain accurate records of all vendor transactions and resolve any discrepancies.
3. Budgeting & Cost Control:
• Assist in preparing budgets for fleet operations.
• Monitor actual expenses against budgeted amounts and report variances.
4. Documentation & Compliance:
• Maintain updated records for vehicle registrations, insurance renewals, and statutory compliance.
• Ensure timely tax payments (road tax, insurance, permits).
5. Reporting & Analysis:
• Generate periodic reports on fleet expenses, utilization, and cost analysis.
• Analyze fuel consumption, maintenance costs, and identify cost-saving opportunities.
6. Coordination with Internal Teams:
• Collaborate with the fleet operations team for vehicle allocation and usage reports.
• Work closely with the procurement team for sourcing spare parts and services.
7. Audit & Internal Controls:
• Support internal and external audits related to fleet accounting.
• Implement internal controls to prevent fraud and mismanagement of fleet assets.
8. Asset Management:
• Maintain accurate records of fleet assets and track asset lifecycle.
• Assist in vehicle disposal and purchase decisions with financial analysis.

Key Skills & Competencies:

• Proficiency in accounting software (Tally, SAP, or ERP systems)
• Strong knowledge of MS Excel and financial reporting tools
• Attention to detail and accuracy in financial documentation
• Excellent organizational and time management skills
• Ability to analyze and optimize costs

Qualifications:

• Bachelors degree in Accounting, Finance, or Commerce
• 13 years of experience in accounting (preferably in fleet or logistics)
• Knowledge of fleet management processes is an advantageRole & responsibilities
