The Travel Manager supports the Amentum OCONUS travel requirements and provide travel arrangements including flights, hotels, car rentals, visa etc and ensuring efficient and effective processes are setup and in place within the department.The Travel Manager will be required to partner closely within the various stakeholder teams to understand their unique travel requirement and be able to manage the travel tools, partner with external travel agency and resources with a strong customer experience mindset.
Principal Accountabilities
Supervise and ordinate all aspects of travel arrangements for Amentum program employees including flights, accommodations,visa, car rentals via designated travel agency(DTA)
Guide a team of dedicated travel assoicates/coordinators to exceed program expectations through meticulous planning and exceptional service.
Ensure all travel arrangements follow Federal Travel Regulations and in accordance with company policies and procedures.
Arrange approved travel for VIP guests as and when requested.
Lead on outcomes of all internal/ external audits and ensure all recommendations, where feasible, are implemented.
Arrange approved requests for employee tickets, hotel and transfers.
Prepare monthly travel reports for hotels and airline tickets and other travel related services booked via DTA.
Maintain and update data on SharePoint related to contracts, invoice summaries and hotel payments and send report to programs as and when requested.
Negotiate group rates for conferences and meetings held in Dubai, as well as for hotel accommodation through Dubai and within the region.
Meet and negotiate with airlines/hoteliers for preferred rates/fares to be used by Amentum Employees.
Arrange quarterly meetings with DTA to discuss performance and negotiate to bring down prices resulting in cost benefits.
Ensure regular contact with DTA to maintain regular service levels /standard for Amentum employees.
Work towards automation and suggesting ways and means of improving automation, overseeing that the in- house travel tracking system is being updated on daily basis.
Signing up with Airlines for Corporate deals that eventually lead to rebates, business rewards and cost savings for the company.
Review and authorize purchase orders and Blanket Purchase Agreements.
Review, and authorize payment sheet to vendors, before submitting to the finance department.
Ensure that complaints/issues from personnel are dealt with on priority and pursued internally till credibly responded.
Advocate adherence to Company laid guidelines for transacting business without making exceptions, unless explicitly authorized by Management.
Plan timely broadcast of changes in airport procedures, visa policies, airline procedures and ensure all programs and offices have updated information.
Meet with key personnel of the various programs when they are in the region to gain a better understanding of their requirements and get a better insight into their needs.
Perform any other relevant duties as assigned to the position by senior management.

Knowledge & Skills
Strong knowledge of travel business practices, procedures and facility planning/management within the UAE.
Ability to work with numbers and complete assignments with attention to detail and a high degree of accuracy.
Experience in managing relationships with travel agencies, airlines, hotels, and other service providers.
Knowledge of travel-related regulations and compliance standards for Business.
Strong Leadership skills and team management experience.
Ability to organize and prioritize multiple work assignments, work with little supervision, and work well under pressure.
Good interpersonal and communication skills with the ability to communicate effectively with all levels throughout the organization.
Experience & Education
Six (6) to eight (8) years experience in a travel managerial/ supervisory role, preferably at least three (3) years experience in a supervisory role.
Two (2) years in related field can be substituted for each year of the four (4) years of college.
bachelors degree in business or the equivalent combination of education, professional training, or work experience.
Physical Requirements/Working Environment
Typically requires regular office hours, but will occasionally require attending calls with global counterparts outside of regular office hours.
