The Client Service Executive is responsible for managing client relationships, ensuring smooth coordination for events, and acting as the primary point of contact between clients and the team. This role involves end-to-end client communication, from inquiries to post-event delivery, while maintaining exceptional service standards.


Key Responsibilities:

1. Client Communication & Relationship Management:

  • Serve as the main point of contact for clients, addressing inquiries via email, phone, and in person.
  • Understand client needs and provide detailed information about photography and film packages.
  • Build and maintain strong relationships with clients, ensuring a positive experience throughout.

2. Coordination & Booking:

  • Manage the client onboarding process, including sending proposals, confirming bookings, and preparing contracts.
  • Schedule and organize consultations to discuss wedding plans, themes, and specific shot requirements.
  • Coordinate with photographers, videographers, and editors to align with the clients vision.

3. Event Planning & Preparation:

  • Gather detailed information about the wedding day schedule, key moments, and family dynamics.For management review, generate reports on client feedback, bookings, and service quality
  • Prepare and share shot lists, event itineraries, and special instructions with the photography and film teams.
  • Address last-minute changes and ensure smooth execution on the event day.

4. Post-Event Follow-Up:

  • Serve as a liaison between the client and the editing team for the delivery of photos, films, and albums.
  • Gather client feedback post-delivery to ensure satisfaction and improve services.
  • Address any client concerns promptly and professionally.

5. Sales & Marketing Support:

  • Assist potential clients in understanding services and guide them through the selection of packages.
  • Participate in marketing initiatives such as wedding fairs, expos, and social media campaigns.
  • Provide input for promotional content, blogs, and portfolio updates.

6. Administrative Duties:

  • Maintain accurate records of client interactions, bookings, and preferences in the CRM system.
  • Track payments, invoicing, and contract details to ensure compliance with company policies.
  • Generate reports on client feedback, bookings, and service quality for management review.

Key Requirements:

  • Experience: 13 years in client service, sales, or a related role; experience in the wedding or creative industry is a plus.
  • Skills:
    • Strong interpersonal and communication skills (written and verbal).
    • Excellent organizational and multitasking abilities.
    • Proficiency in MS Office and CRM software; knowledge of photo and video editing tools is a bonus.
    • Problem-solving skills and the ability to stay calm under pressure.
  • Availability: Flexibility to work evenings and weekends as required by wedding schedules.
