Job Description

KEY RESPONSIBILITIES AND ACCOUNTABILITIES


  • Manage end-to-end admin responsibilities in alignment to organization guidelines and expectations. These include and not restricted to:
  1. Support and assist the administrative requirements of employees for uninterrupted functioning of office locations, pre-empt issues and take proactive steps to resolve.
  2. Maintenance of appearance of common areas and office premise as per the set standards.
  3. Managing the admin needs as per the set protocols and procedures including filing system and correspondence, overseeing supplies and equipment, Contract renewals, parking etc
  4. Responsible for front-office management, courier services and the performance of support staff to ensure the daily office expectations are met with.
  5. Adhere and comply with the office premise management to ensure daily maintenance of office space, infrastructure planning (moves, additions and changes to workstations) and maintain records.
  • In partnership with a Travel vendor, manage the Domestic and International travel arrangements of employees including Visas, ticketing, Visa, Forex, travel insurance and boarding arrangements adhering to org. guidelines and policy.
  • Responsible for all Admin Compliances, raise timely communication for approvals to be received and processes to be followed.
  • Maintain and manage the petty cash with timely submission of reports to Reporting Manager and Finance team.
  • Support and contribute to all India HR initiatives including logistic arrangement for in-house events, procuring of gifting items via a network of vendor partners while being cost effective.
  • Collaborate with IT team on device management (laptops/chargers/phone).

SKILLS AND COMPETENCIES

  • Bachelors Degree with 7-10 years of prior working experience in an Administrative Role.
  • Minimum 3-4 years experience of managing the Travel Desk; including visa, forex, international ticketing, domestic travel.
  • Proven experience of multitasking, working under pressure and delivering on tight timelines.
  • Well associated with vendor partners from across travel, gifting, and related industries.
  • Prior experience of support staff management.
  • Good communication skills and confidence to engage with stakeholders, across levels.
  • Willing to travel regularly for work across office locations.
  • Well versed with MS Office and online platforms.
