Role & responsibilities
Role Overview:
This role will be responsible for managing in-house drivers and company-owned vehicles while also overseeing the hiring and coordination of external transport services, including rental cars and buses. This role will also be responsible for organising accommodation for employees through Hotels & Guest Houses and Tie-up with local educational initiates for Employees children. This role requires strong organizational skills to efficiently manage vendors, cost optimization, and communication with internal stakeholders.
Key Responsibilities:
1. In-House Fleet & Driver Management
- Oversee daily operations of the companys in-house vehicles and drivers.
- Ensure proper maintenance, servicing, and upkeep of company-owned vehicles.
- Monitor fuel consumption, mileage, and driver performance.
- Implement route optimization strategies for efficiency and cost savings.
- Ensure compliance with safety regulations, insurance policies, and vehicle documentation.
- Maintain records of vehicle assignments, usage, and maintenance schedules.
2. External Vehicle & Bus Hire Management
- Identify and manage third-party vehicle and bus rental vendors.
- Negotiate contracts, pricing, and service level agreements with vendors.
- Coordinate booking and deployment of hired vehicles for company events, employee transport, and guest movements.
- Ensure timely availability and proper condition of hired vehicles.
- Monitor vendor performance and ensure compliance with agreed terms.
3. Guest House Management:
- Oversee the daily operations of the corporate guest house, ensuring cleanliness, safety, and comfort.
- Maintain records of check-ins, check-outs, and occupancy status.
- Coordinate with housekeeping, maintenance, and security teams for smooth operations.
- Implement policies for guest house usage and ensure compliance with company guidelines.
- Address guest concerns and ensure a positive stay experience.
4. Hotel Booking & Accommodation:
- Research, negotiate, and manage contracts with hotels and serviced apartments to secure cost-effective corporate rates.
- Handle reservations, modifications, and cancellations as required.
- Ensure seamless booking experiences for employees and guests, providing necessary travel details.
- Monitor hotel service quality and gather feedback for improvements.
- Maintain an updated database of preferred hotels and negotiated rates.
5. Local School Tie-ups:
- Establish partnerships with local schools for employees children admissions.
- Coordinate school visits and provide necessary information to employees relocating with families.
- Negotiate fee discounts or special agreements for employees’ children.
- Maintain relationships with school administrators to ensure smooth communication and support.
6. Coordination & Communication
- Act as the primary point of contact for all travel and transportation requests.
- Liaise with internal stakeholders, including employees, departments, and senior management, to understand transport needs.
- Coordinate scheduling of drivers and vehicles based on priority and requirements.
- Communicate transport arrangements clearly to all concerned parties.
- Handle escalations and provide solutions to transport-related issues in real time.
7. Vendor & Cost Management
- Maintain a database of preferred vehicle rental and transport vendors.
- Track invoices, payments, and ensure cost efficiency in transportation services.
- Work with procurement and finance teams to ensure transparent billing and cost approvals.
- Identify cost-saving opportunities while maintaining quality service.
8. Compliance & Safety
- Ensure adherence to all transport regulations, company policies, and legal requirements.
- Conduct periodic checks on vehicle documentation, driver licenses, and vendor compliance.
- Implement safety guidelines for drivers and passengers.
- Address any complaints or issues related to transport service quality.
9. Reporting & Documentation
- Maintain accurate records of vehicle usage, driver schedules, and transport requests.
- Generate periodic reports on fleet performance, vendor efficiency, and cost analysis.
- Recommend improvements to streamline transport operations and reduce costs.
Qualifications & Experience:
- Bachelor’s degree in Business Administration, Transport Management, or a related field (preferred).
- 10-12 years of minimum experience in similar role.
- Prior experience in vendor management and contract negotiations.
- Knowledge of transport regulations, fleet maintenance, logistics planning and hotel booking.
- Experience working with transport management software or GPS tracking systems is an advantage.
