Job Role: Commercial Assistant

Department: Research, Technology and Innovation Centre

Role & responsibilities:

• Set up new customer codes, and maintain all customer information in the ERP system (Customer code creation)
• Customer registration.
• Define Customer to 3rd party registration for GST
• Sales order creation & project creation
• Sales Order Preparation (SO)
• Preparing invoices as per contract and payment terms.
• Payment follow-up with the customer
• Confirmation for customer payment received and coordination with other divisions for unidentified receipts.
• Passing customer payment receipts
• Preparation of Debit Note/Credit Note
• Coordination and resolving customer's queries and reconciliation of accounts
• Knowledge of (LPCC)Local Purchase Committee formation as per GFR rules
• Generation of the e-way bill as per tax invoice or delivery challan.
• Coordinating with Corporate Treasury, and Banks to obtain all types of Bank Guarantees as per customer requirements
• Maintaining bank guarantee records and sending MIS to corporate (Treasury) as per corporate format
• Collection of expired bank guarantees from customers and deposit in the bank with release request letter format
• Coordinating for CA certificate from practicing CA as per project requirement
• Check supplier PO for commercial and payment terms.
• Collection of GST-TDS/TDS Certificate
• Have a good understanding of GFR rules applicable to the project
• Ensuring 100% GFR rules compliances applicable for the project
• Evaluate tenders as per GFR rules
• Check and validate file notes as per the GFR rule for further processing
• Conducting meetings as per GFR rules
• Preparing and maintaining resolutions, and backup documents as per GFR rules
• Handling of all Commercial aspects related to project activities, interaction with all stakeholder

Preferred candidate profile

• Independent handling of commercial activities of Industrial projects.
• Ability to properly coordinate with various internal and external departments of EPC (Educational Institutes, Technology, Vendors for mechanical, E&I items Engineering, QC, Procurement, Construction, Finance, etc.) and meticulous maintenance of project commercial documentation, MOM, and records.
• Good communication skills, a flair for working on new technology projects, and capable of taking the initiative to drive the project with minimum supervision.
• Knowledge & hands off exposure to ERP software
• Ability to handle independently Commercial part of Tenders/Bids in compliance with GFR (General Financial Rules)
