JOB DESCRIPTION
Role and Responsibilities
• Plant Administration:
Oversee and manage all administrative functions within the manufacturing plant, including transportation, canteen
operations, CCTV systems, security services, and other facilities.
Ensure that all administrative services meet the needs of employees and comply with company policies and
regulations.
• Vendor Management:
Identify, evaluate, and negotiate with vendors for various administrative services and supplies required for the plant.
Establish and maintain vendor relationships, including monitoring performance and resolving any issues that may
arise.
Ensure cost-effective procurement of goods and services while maintaining quality standards.
• SAP Experience:
Utilize SAP software for processing vendor payments, managing purchase requisitions (PR), and generating purchase
orders (PO) for HR and admin-related needs.
Ensure accurate and timely processing of invoices, payments, and documentation within the SAP system.
• Facilities Management:
Coordinate maintenance and repairs for plant facilities, equipment, and infrastructure to ensure a safe and efficient
working environment.
Monitor facility operations and address any issues or concerns related to maintenance, cleanliness, or safety.
• Compliance and Regulations:
Ensure compliance with relevant regulations, codes, and standards related to plant administration, including safety
regulations and labor laws.
Keep abreast of regulatory changes and update policies and procedures accordingly.
• Budget Management:
Assist in the development and management of budgets for plant administration expenses, including transportation,
security, and facility maintenance.
Monitor spending and identify opportunities for cost savings or optimization.
• Documentation and Reporting:
Maintain accurate records and documentation related to plant administration activities, including vendor contracts,
invoices, and procurement documents.
Prepare reports and analysis as needed to support decision-making and management reporting.
Qualifications and Education Requirements
• Bachelor's degree in Business Administration, Human Resources, or related field.
• Proven experience of at least 5 years in plant administration or facilities management, preferably in a manufacturing
environment.
Preferred Skills / Competencies
• Strong negotiation skills and experience in vendor management.
• Proficiency in SAP software for processing vendor payments, purchase requisitions, and purchase orders.
• Knowledge of administrative processes, facilities management, and compliance requirements.
• Excellent communication, interpersonal, and organizational skills.
• Ability to prioritize tasks, manage multiple projects simultaneously, and work effectively under pressure.
