Job Description

1. Provident Fund (PF) Management:

Ensure compliance with the Employees' Provident Fund (EPF) Act and maintain all PF-related records.

Process monthly PF contributions, including employee and employer contributions.

Handle PF transfers, withdrawals, and settlements for employees.

Resolve PF-related queries from employees and liaise with the EPFO.

Prepare and submit monthly/quarterly/annual PF returns and reconcile PF accounts.

Monitor and maintain the timely submission of monthly and yearly PF remittances.


2. Employees' State Insurance (ESIC) Management:

Ensure compliance with ESIC rules and regulations.

Register new employees under the ESIC scheme and maintain records of their contributions.

Process monthly ESIC payments and ensure they are paid within the statutory deadlines.

Coordinate with the ESIC office for claims, medical reimbursements, and issues related to employee coverage.

Resolve ESIC-related queries and escalate issues when necessary.

Prepare and submit ESIC reports as required by law (monthly, quarterly, annual).


3. Documentation & Record Keeping:

Maintain up-to-date records of employee PF and ESIC enrolment.

Generate and update monthly, quarterly, and annual reports related to PF and ESIC.

Ensure proper filing of all PF and ESIC documentation, ensuring adherence to compliance standards.


4. Compliance & Audits:

Stay up-to-date with changes in PF and ESIC regulations.

Ensure compliance with all government regulations related to PF and ESIC.

Coordinate with internal and external auditors for PF and ESIC-related audits and ensure timely submissions of required documents.

Support the HR and Finance departments during annual audits and provide necessary data and information.


5. Reporting & Analysis:

Prepare periodic reports related to PF & ESIC contribution and claims data.

Analyze trends and ensure that the company's contributions are aligned with statutory requirements.


Qualifications:

Bachelors degree.

Minimum of 2-3 years of experience in managing PF and ESIC processes, preferably in a similar HR or payroll role.

Good knowledge of EPF & ESIC regulations and related compliance procedures.

Strong attention to detail, accuracy, and time management skills.

Excellent verbal and written communication skills.

Ability to handle sensitive and confidential information with integrity.
