Administration Manager

Role & responsibilities

• Oversee and Manage the Accounts Payable Helpdesk functions
• Ensuring team is providing timely resolution of Vendor queries / issues
• Assist associates to identify & implement AP improvements
• Develop and evaluate employees; evaluate performance and workloads; determine work priority; implement changes to improve productivity and increase efficiency through training, coaching and performance management
• Ensure key performance indicators are achieved or exceeded
• Define and enforce clear, measurable targets for operational metrics
• Liaising with multiple stakeholders and ensuring the timely closure of vendor payment and reconciliation related queries and issues
• Preparation of reports including reconciliation trackers, vendor compliance reports, payment analysis, etc
• Oversee and assist in preparing Vendor account reconciliations on a periodic basis
• Escalation handling related to vendor payment issues
• Regular training of team members to ensure quality delivery and performance as per SLAs.
• Keep track of all invoices of site
• Provide exact figure of invoice to Accounts Department
• Report on time any errors related to Invoicing to Manager
• Process invoices and follow-up on payments
• Participate in monthly staff meetings
• Assist in the development of capital and operating expense budget
• Fully research solutions and review options prior to making decisions or soliciting feedback from others
• Always maintain a professional appearance
• Use appropriate judgment and latitude to make decisions and solve problems
• Write effective reports that clearly communicate or summarize information and satisfy the requestor.

Preferred candidate profile

• Graduate in any discipline.
• 3+ yrs of relevant experience
• Ability to motivate support staff with proper guidance and grooming
• Data Analytics Ability to comprehend data and provide meaningful business insights • Expertise and familiarity with business tools like MS Excel.
