Job Description

Job Summary:
An International KPO in Noida is seeking a skilled and detail-oriented Steno Secretary to provide high-level administrative and clerical support to the leadership team. The ideal candidate must be proficient in shorthand, transcription, and documentation, with experience in supporting executives in a fast-paced, professional environment.


Key Responsibilities:

  1. Shorthand & Transcription:
    • Take dictations in shorthand with high accuracy and transcribe them into error-free documents.
    • Prepare, format, and edit reports, correspondence, and other documents based on executive dictations.
  • Administrative Support:
    • Manage and maintain executive schedules, calendars, and meeting arrangements.
    • Prepare meeting agendas, record minutes, and ensure timely follow-up on action points.
  • Document Management:
    • Organize and maintain both physical and digital filing systems for quick and secure access.
    • Oversee document libraries and ensure systematic storage of books and reference materials.
  • Communication Handling:
    • Manage correspondence, emails, and calls on behalf of executives with professionalism.
    • Draft and proofread letters, memos, and presentations with precision.
  • Coordination & Planning:
    • Arrange travel itineraries, accommodations, and logistics for business trips.
    • Assist in planning and organizing meetings, events, and conferences.
  • Technology & Tools:
    • Proficient in MS Office Suite (Word, Excel, PowerPoint, Outlook) for document and schedule management.
    • Utilize intelligent automation tools and AI platforms, including ChatGPT, to streamline workflows.

Qualifications:

  • Proven experience as a Steno Secretary or in a similar role, preferably in an international environment.
  • Expertise in shorthand with excellent typing and transcription skills.
  • Proficiency in MS Office Suite and ability to adapt to new technology tools.
  • Strong verbal and written communication skills.
  • Bachelors degree in any discipline (preferred).

Preferred Experience:

  • Previous experience in a KPO or international business setup.
  • Knowledge of documentation standards in financial or legal settings (CA or law firm background is a plus).

  • Attention to detail and accuracy.
  • Excellent organizational and time-management skills.
  • Ability to work under pressure and handle multiple priorities.
  • High level of discretion in handling confidential information.
