We are hiring for a Team Leader Operations - Order Entry position for our Indore location. Candidates with experience in Order to Cash (OTC) / Order Entry work in the US Healthcare industry are encouraged to apply, including those from outside the healthcare industry.


Job Title: Team Leader Operations - Order Entry
Location: Indore and Hyderabad locations
Reports To: Manager Operations
Experience: 5+ years
Qualification: Any Graduate (10+2+3)


The Team Leader Operations - Order Entry is responsible for managing the daily operations of the order entry team, ensuring that all orders are processed accurately and in a timely manner. The role involves overseeing the entry of customer orders, verifying necessary details, ensuring compliance with US healthcare regulations, and handling team performance and coaching. The Team Leader will work closely with cross-functional teams to ensure that all processes are followed, delivering high levels of customer satisfaction. This position will also require flexibility to work night shifts, including graveyard shifts.


Key Responsibilities:

  • Order Entry Management: Supervise and ensure the accurate entry of all customer orders into the system, ensuring that all necessary information, including patient eligibility, insurance verification, and order details, is accurate and complete.
  • Payment Posting: Oversee the payment posting process, ensuring that all payments from insurance companies, patients, and other entities are accurately recorded and aligned with corresponding accounts.
  • Team Leadership & Coaching: Lead, mentor, and motivate a team of order entry specialists, providing guidance, coaching, and training to improve team performance and ensure timely order processing.
  • Compliance & Quality Assurance: Ensure compliance with US healthcare regulations (e.g., HIPAA, Medicare/Medicaid guidelines) and internal policies. Perform audits to verify the accuracy and quality of order entry, charge entry, and payment posting processes.
  • Customer Support & Escalation: Act as an escalation point for customer issues related to order entry and payment posting. Resolve any discrepancies or issues, ensuring high levels of customer satisfaction.
  • Process Improvement: Identify and implement process improvements to streamline the order entry and payment posting functions, aiming to reduce errors and enhance operational efficiency.
  • Reporting & Performance Monitoring: Track key performance metrics such as order volume, error rates, turnaround time, and team performance. Prepare regular reports for senior management and provide data-driven recommendations for process improvements.
  • Collaboration: Work closely with billing, sales, customer service, and delivery teams to ensure smooth and coordinated operations throughout the order processing cycle.
  • Training & Development: Support the development of team members by facilitating ongoing training to keep them updated on industry trends, regulations, and technologies in order entry, payment posting, and general operations.
  • Shift Requirements: This position requires night shifts, including graveyard shifts. Flexibility to work during non-standard hours is required to ensure 24/7 coverage and efficient order processing.

Qualifications:

  • Bachelors degree with 5+ years of experience in order entry and operations, ideally in the US Healthcare industry.
  • 1 years of experience in a SME or Quality role , overseeing operations and team performance.
  • Proficiency in order entry, O2C, charge entry, and payment posting systems.
  • Experience in process improvement, problem-solving, and identifying inefficiencies in operational workflows.
  • Excellent organizational skills, attention to detail, and the ability to prioritize multiple tasks.
  • Strong leadership, communication, and interpersonal skills with the ability to lead and motivate a team.
  • Experience with client management and delivering customer satisfaction.
  • Ability to handle high-pressure situations, ensure timely order processing, and meet deadlines.
  • Flexibility to work non-standard hours, including graveyard shifts.
