We are hiring for an Assistant Manager Operations - Order Entry position for our Indore and Hyderabad locations. Candidates with experience in Order to Cash (OTC) / Order Entry work in the US Healthcare industry are encouraged to apply, including those from outside the healthcare industry.
Job Title: Assistant Manager Operations - Order Entry
Location: Indore and Hyderabad
Reports To: Manager Operations
Experience: 6+ years (with at least 1 year of Team Leader experience)
Qualification: Any Graduate (10+2+3)
The Assistant Manager Operations - Order Entry is responsible for managing the operations of the order entry team, ensuring accurate and timely processing of orders. This role ensures compliance with US healthcare regulations and verifies patient eligibility, insurance information, and order details. The Assistant Manager will also focus on team performance, operational efficiency, and process improvement. Flexibility to work night shifts, including graveyard shifts, is required.
Key Responsibilities:
Order Entry Management: Oversee accurate entry of customer orders into the system, ensuring completeness of necessary information such as patient eligibility, insurance, and order details.
Payment Posting: Supervise the payment posting process, ensuring that payments from insurance companies, patients, and other entities are correctly recorded against corresponding accounts.
Team Supervision & Coaching: Lead a team of order entry specialists, offering training, mentoring, and support to ensure efficient processing and high-quality results.
Compliance & Quality Assurance: Ensure adherence to US healthcare regulations (e.g., HIPAA, Medicare/Medicaid), and conduct regular audits to maintain high quality and accuracy.
Customer Support & Escalation: Act as an escalation point for customer issues related to order entry and payment posting, resolving discrepancies to maintain customer satisfaction.
Process Improvement: Analyze workflows to identify opportunities to reduce errors, improve efficiency, and streamline operations in order entry and payment posting functions.
Reporting & Performance Monitoring: Track metrics such as order volume, error rates, turnaround times, and team performance. Prepare reports and propose process improvements.
Collaboration: Work with billing, sales, customer service, and delivery teams to ensure smooth operations and on-time delivery of orders.
Training & Development: Support ongoing training for the team, keeping them updated on industry trends, technologies, and regulatory changes.
Shift Requirements: This position requires flexibility to work non-standard hours, including night shifts and graveyard shifts, to ensure 24/7 coverage and timely order processing.
Qualifications:
6+ years of experience in operations or order entry, ideally in the US Healthcare industry, with at least 1 year of experience as a Team Leader.
Strong proficiency in Order Entry, O2C, charge entry, and payment posting systems.
Proven experience in process improvement and operational optimization.
Strong organizational, leadership, and interpersonal skills.
Ability to prioritize multiple tasks effectively while ensuring accurate order processing.
Experience with client management and delivering customer satisfaction.
Ability to thrive in a fast-paced environment while maintaining attention to detail.
Flexibility to work during non-standard hours, including graveyard shifts.
