Head of Shared Services (Looking for someone having experience in setting up multiple Human Resources, Finance, Information Technology, Procurement, and Legal)


Location: Airoli, Navi Mumbai

Reports to: Chief Information Officer

Looking for candidates from Pharma company or consulting.

Job Purpose:

The Head of Shared Services will lead the strategic integration of enabling functions across the organization, including Human Resources, Finance, Information Technology, Procurement, and Legal. This role is responsible for optimizing service delivery, ensuring operational excellence, and fostering a culture of continuous improvement to drive efficiency and effectiveness across the business.

Key Responsibilities:

Strategic Leadership:

- Lead the creation, development, and execution of the shared services strategy in alignment with organizational goals.

- Ensure the efficient and effective integration of all support functions, including HR, Finance, IT, Procurement, Legal, and other administrative services.

- Collaborate with senior management to ensure alignment of shared services with the organization's business objectives.

Operational Excellence:

- Develop and implement processes, policies, and systems to standardize operations across the shared services functions.

- Drive performance improvements, leveraging best practices, technology, and data analytics to enhance service quality.

- Oversee continuous improvement initiatives aimed at increasing efficiency, reducing costs, and optimizing resources.

Stakeholder Management:

- Act as the primary point of contact for internal stakeholders regarding shared services delivery.

- Ensure that shared services meet the evolving needs of the business and stakeholders, maintaining high levels of service quality and customer satisfaction.

- Manage relationships with external vendors and partners to ensure efficient service delivery.

Financial Management:

- Develop and manage the shared services budget, ensuring cost-effective use of resources and adherence to financial objectives.

- Identify opportunities for cost savings through process improvements, automation, and renegotiation of vendor contracts.

Team Leadership:

- Build, lead, and mentor a high-performing shared services team.

- Foster a collaborative and inclusive work environment that encourages innovation and professional development.

- Establish key performance indicators (KPIs) for the shared services function and regularly report on performance to senior leadership.

Key Qualifications & Experience:

Education:

- Bachelor's degree in Business Administration, Finance, Human Resources, or a related field. MBA or a relevant degree is preferred.

Experience:

- Minimum of 15 years of experience in managing shared services, business operations, or enabling functions, preferably in a pharmaceutical or healthcare environment.

- Proven track record of leading organizational transformations and delivering measurable results.

- Strong experience in process re-engineering, change management, and technology implementation.

Skills:

- Excellent leadership, communication, and stakeholder management skills.

- Ability to drive innovation and continuous improvement within a complex organization.

- Strong financial acumen with the ability to manage budgets and optimize costs.

- Proficiency in using technology to enhance operational performance and service delivery.
