The Executive Assistant to the President and Business Head acts as a key strategic partner, delivering high-level administrative support and facilitating operational coordination. This position seeks a proactive and detail-oriented professional who excels in organization, communication, and problem-solving to effectively manage schedules, aid in decision-making, and oversee various special projects.
Key Responsibilities:
Administrative Support:
Oversee the Presidents calendar, arranging meetings, appointments, and travel logistics.
Filter and prioritize emails, calls, and correspondence to enhance time management.
Prepare agendas, presentations, and reports for meetings and conferences.
Strategic Coordination:
Function as the primary link between the President and both internal and external stakeholders.
Enhance communication and coordination across departments to align with the President’s goals.
Monitor progress on essential business initiatives and ensure follow-up on action items.
Project Management:
Administer and oversee special projects as designated, guaranteeing timely completion and high-quality results.
Conduct research and offer data-driven insights to assist in decision-making. -
Create and maintain dashboards or reporting systems to track critical metrics.
Operational Oversight:
Plan and coordinate high-level events, including board meetings, leadership retreats, and client engagements.
Manage confidential information with the highest degree of discretion and professionalism.
Streamline office operations, encompassing procurement, resource allocation, and budget oversight.
Travel and Itinerary Management:
Organize and manage complex travel arrangements, including international and multi-city itineraries.
Compile expense reports and reconcile budgets associated with travel.
Stakeholder Management:
Foster and maintain relationships with key stakeholders, including clients, partners, and senior leaders.
Represent the President in meetings or discussions when necessary, providing updates and feedback.
Qualifications and Skills:
Bachelor’s degree in Business Administration, Management, or a related discipline (MBA preferred).
At least 5+ years of experience in an executive assistant role or similar position supporting senior leadership.
Outstanding organizational and time-management capabilities.
Excellent written and verbal communication skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools.
Ability to handle sensitive information with discretion. Strong interpersonal skills and a collaborative mindset.
