Job Description

Role & responsibilities

Administrative Support :

1. Manage the executive's calendar, schedule appointments, and ensure timely reminders.

2. Handle incoming and outgoing mail, emails, and phone calls with professionalism and discretion.

3. Prepare and edit documents, reports, and presentations as required.

4. Develop and maintain effective filing systems, both physical and digital.


Organizational Support :

1. Prioritize and manage tasks, ensuring timely completion and follow-up.

2. Coordinate travel arrangements, accommodations, and transportation for executives.

3. Prepare and reconcile expense reports, ensuring accuracy and compliance.

4. Develop and maintain relationships with key stakeholders, including employees, clients, and vendors.


Communication and Liaison :

1. Develop and maintain effective relationships with stakeholders, including executives, employees, clients, and vendors.

2. Ensure timely dissemination of information to relevant parties.

3. Coordinate meetings, including scheduling, logistics, and minute-taking.

4. Prepare and distribute meeting materials, agendas, and minutes.


Technical Support :

1. Demonstrate expertise in Microsoft Office Suite, Google Workspace, or other productivity software.

2. Troubleshoot basic technical issues and escalate complex problems to IT support.

3. Stay up-to-date with the latest software and technological advancements.


Follow-up and Monitoring :

1. Ensure timely follow-up on tasks, deadlines, and deliverables.

2. Monitor project progress, identify potential roadblocks, and escalate concerns to executives.

3. Track and report key performance metrics, providing insights for process improvements.


Confidentiality and Discretion :

1. Maintain confidentiality and handle sensitive information with discretion.

2. Ensure compliance with data protection policies and procedures.


# Requirements:

Education and Experience

1. Bachelor's degree in Business Administration, Communications, or related field.

2. Minimum 5-10 years of experience as an Executive Assistant or in a similar administrative role.


Skills and Qualifications

1. Excellent communication, organizational, and time management skills.

2. Proficient in Microsoft Office Suite, Google Workspace, or other productivity software.

3. Strong attention to detail, discretion, and confidentiality.

4. Ability to work in a fast-paced environment, prioritizing tasks and managing multiple projects simultaneously.

5. Strong interpersonal skills, with the ability to build relationships with stakeholders at all levels.
