Job Description

Role & responsibilities The Administrative Lead will oversee and manage all administrative functions, including contract management, legal aspects of contracts, and vendor relations. This position requires expertise in administrative operations, contract management, compliance with legal regulations, and vendor performance monitoring to ensure the organization's goals and standards are met effectively.


Administrative Leadership:

  • Oversee daily administrative operations, ensuring smooth workflows and alignment with organizational goals.
  • Develop, implement, and refine administrative policies and procedures to enhance efficiency and compliance.
  • Provide strategic input on administrative processes to senior leadership.

Contract Management:

  • Draft, review, and negotiate contracts to ensure clarity, legality, and alignment with organizational objectives.
  • Monitor contract lifecycles, ensuring timely renewals, amendments, or terminations.
  • Maintain a comprehensive database of all contracts, including vendor agreements and service-level agreements (SLAs).

Legal Compliance:

  • Ensure all contracts comply with applicable legal and regulatory requirements.
  • Liaise with legal teams or external legal advisors for complex contract negotiations or disputes.
  • Stay updated on relevant legal changes and advise management on potential impacts.

Vendor Management:

  • Oversee vendor selection, onboarding, and performance evaluation to ensure adherence to agreed terms and quality standards.
  • Manage vendor relationships, addressing issues promptly to maintain strong partnerships.
  • Negotiate favorable terms with vendors while aligning with budget constraints and organizational needs.

Risk Management:

  • Identify and mitigate risks associated with contracts and vendor relationships.
  • Ensure proper documentation of all agreements and transactions for audit and compliance purposes.
  • Develop contingency plans for critical vendor or contract issues.

Team Management:

  • Lead and mentor the administrative team, providing guidance and fostering a culture of excellence.
  • Conduct performance reviews and identify professional development opportunities for team members.

Preferred candidate profile Qualifications and Skills:

  • Bachelor's degree in Business Administration, Legal Studies, or a related field (Master's preferred).
  • Proven experience in administrative operations, contract management, and vendor relations.
  • Strong understanding of legal aspects of contract management and compliance requirements.
  • Excellent negotiation, communication, and problem-solving skills.
  • Proficiency in contract management software and Microsoft Office Suite.
  • Ability to manage multiple projects and deadlines in a fast-paced environment.
  • Leadership experience with a focus on team development and collaboration.

Preferred Skills

  • Experience in a corporate or legal environment.
  • Certification in contract management (e.g., Certified Commercial Contracts Manager, CCCM).
  • Knowledge of procurement processes and best practices.
