Job Description


JOB DESCRIPTION

POSITION GOALS

The Facility Manager shall be responsible for Service Delivery, Quality Control- adopting Quantitative Tools, Performance Measurement, Customer Relationship, Smooth integration between Engineering and Soft Services, Seating arrangements, MIS Generation, Critical equipment breakdown trend analysis, Financial & Budgetary Controls of Engineering Services.



DUTIES AND RESPONSIBILITIES

  • To achieve excellence in preventive maintenance programs with highest standards and ensure energy conservation practices.
  • Co Ordinates with respective agencies for timely resolution of requests and concerns within the stipulated time.
  • Ensure Periodical round with Team for the building inspection and modification of systems/procedures
  • Contribute to achieving financial and other targets established by the HOD
  • Establish contacts with local authorities on the facility related issues and maintain relationship. Responsible for all legal & authorities related compliances pertaining to facility & engineering systems
  • Plan and manage the budgets for Operational contracts
  • Review the maintenance/service practices of M&E Contractors to deliver quality work practices in line with the manufacturer recommendations
  • Plan & take responsibility for smooth operations of all Mechanical, Electrical, plumbing installations and Civil works pertaining to the facility
  • Responsible for planning a critical spares list for all installations as per manufacturers recommendations and inventory
  • Periodically inspect the logbooks, checklists, and PPM schedules for a better management of systems and processes.
  • Work towards the ZERO down time and set up the practices to ensure the delivery of seamless service to business operations.
  • Responsible for ensuring landlords compliance on availability of all statutory obligations such as CEIG, Fire, Lift, Explosives and stability certificate.
  • Ensure AMCs for all equipment are planned and contracts administered in advance.
  • Responsible for setting up the maintenance contracts to ensure risk mitigation to the business operations
  • Periodically check / amend checklists, operation steps, spare parts consumption analysis.
  • Innovates, suggests and implements energy conservative initiatives.
  • Ensures 100% statutory compliance by contractors like ESI. PF, Insurance etc.



Develop and Implement SOP & Policy for the following: -

  • System reliability auditing and measurement
  • Equipment and system commissioning as and when required.
  • Standard operating procedures (SOP) for system(s)
  • Predictive and preventative maintenance
  • Employee and property specific training
  • Strategic alliances with vendor partners
  • Inter-group communication procedures
  • Risk Assessment and Management of Critical Environment



QUALIFICATIONS:

  • Bachelors degree in Business Administration, Management, or a related field; Master's degree preferred.
  • Proven experience in administrative management, with a minimum of 8 year’s experience.
  • Strong knowledge of administrative principles, practices, and procedures.
  • Excellent leadership and interpersonal skills, with the ability to effectively manage and motivate a team.
  • Exceptional communication skills, both written and verbal, with the ability to interact with individuals at all levels of the organization.
  • Analytical mindset with the ability to identify problems, evaluate options, and implement effective solutions.
  • Proven ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Proficiency in Microsoft Office Suite and other relevant software applications.
  • Experience in strategic planning, budget management, and project management.
  • Knowledge of relevant regulatory requirements and industry standards.
