Head Facilities

We are seeking a highly skilled and experienced professional to oversee and manage all Facilities Management (FM) services post-project completion. The ideal candidate will ensure the highest standards of quality, efficiency, and customer satisfaction while coordinating with various stakeholders and managing a team of FM professionals.

Key Responsibilities:

1. Oversee the entire spectrum of Facilities Management services upon project completion.
2. Systematically take over FM operations from project teams on time, providing comprehensive FM services including housekeeping, maintenance, civil, electrical, and mechanical services, as well as federation asset management and tenant facility services.
3. Implement best and contemporary practices in the facility management domain.
4. Plan and deploy necessary qualified resources in advance to manage FM operations for each project.
5. Prepare accurate initial budgets for Common Area Maintenance (CAM) and update yearly budgets for all equipment and services, tracking variances as per agreed frequency, and initiate timely and regular invoicing for each project.
6. Engage vendors and sign Annual Maintenance Contracts (AMCs) for each project to ensure the right competencies are in place for various services at competitive costs, and monitor their performance on an ongoing basis to make timely decisions.
7. Implement cost control measures without compromising on service quality or customer satisfaction.
8. Ensure all departmental operations are well-controlled, including invoicing and collections, routine/preventive/shutdown maintenance, problem-solving, customer communications, organizing meetings/events, and continuously improving FM service quality.
9. Manage a team of site-level FM In-charges, monitor their deliverables, and implement performance enhancement initiatives.
10. Interact with and manage customers at both individual and group levels, systematically resolving and closing issues to their satisfaction.
11. Conduct timely reconciliation of actual expenses versus adhoc amounts charged to customers, effectively communicating with customers to resolve discrepancies.
12. Lead the systematic handover of facilities and accounts to adhoc management committees or resident societies, organizing meetings, coordinating on all issues, and closing FM-related matters.
13. Establish internal control systems, monitor vendor and FM team performance, prevent issues by improving service quality, and ensure timely resolution of customer-raised issues.
14. Escalate decisions required from management to the immediate superior and execute directives for timely decision-making.
15. Liaise with local municipal and electrical inspection authorities as required for facility provisions.
16. Prepare and update the Facility Management Manual, ensuring compliance with up-to-date systems and practices.
17. Submit Management Information System (MIS) reports to management on time, as per the agreed format/system.
18. Perform additional duties as assigned by the immediate superior from time to time.
19. Undertake all necessary tasks incidental to leading the FM function.

Qualifications:

• Bachelor's degree in Engineering, or a related field.
• Extensive experience in managing facilities, particularly in large-scale projects.
• Strong leadership, communication, and interpersonal skills.
• Proficiency in facilities management software and tools.
• In-depth knowledge of FM processes, safety regulations, and quality standards.
• Ability to manage multiple projects simultaneously and prioritize tasks effectively.
