Job Description

The Admin Executive will provide essential administrative and operational support to ensure smooth office operations. This role will involve office coordination, document management, and the oversight of office equipment and facilities, with a particular focus on maintaining the electrical systems and equipment in the workplace. The Admin Executive will also be required to troubleshoot electrical issues, conduct regular maintenance, and ensure safety compliance.


Key Responsibilities:

  • Administrative Support:
    • Manage office schedules, meetings, and appointments efficiently.
    • Coordinate travel, accommodation, and event arrangements for staff.
    • Prepare and organize documents, reports, presentations, and correspondence.
    • Maintain and organize office files, both physical and digital.
    • Handle incoming calls, emails, and mail, and direct them to appropriate individuals.
  • Office Management:
    • Maintain and oversee the inventory of office supplies and equipment, ensuring adequate stock levels.
    • Order office supplies, coordinate deliveries, and track expenses.
    • Ensure the cleanliness, organization, and safety of the office environment.
    • Assist in organizing office meetings, conferences, and team-building activities.
  • Electrical Maintenance & Facility Management:
    • Conduct routine inspections and maintenance on electrical systems, including lighting, wiring, circuit boards, and electrical appliances.
    • Troubleshoot electrical issues, such as power failures, malfunctioning equipment, and faulty wiring.
    • Ensure proper functioning of office electrical appliances, including HVAC systems, computers, printers, and other office equipment.
    • Work closely with external electricians or facility maintenance contractors when specialized repairs are required.
    • Maintain an up-to-date inventory of electrical tools, equipment, and spare parts.
    • Ensure compliance with safety regulations, including the proper functioning of emergency lighting and fire alarm systems.
    • Keep accurate records of all electrical maintenance work and any repairs conducted.
  • Document & Data Management:
    • Prepare regular reports on office activities, supplies, and electrical maintenance.
    • Organize and file electrical maintenance records, including repair logs and equipment warranties.
    • Assist with administrative tasks such as budgeting, invoicing, and handling contracts with external vendors and contractors.
  • Communication & Liaison:
    • Serve as a point of contact for employees regarding office-related issues, including electrical equipment concerns.
    • Communicate effectively with external service providers, contractors, and vendors for office maintenance and repair services.
    • Collaborate with departments to understand their administrative and electrical maintenance needs.

Technical Skills Required:

  • Administrative Skills:
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google Workspace (Docs, Sheets, Slides).
    • Strong data entry skills and familiarity with office management tools.
  • Electrical Maintenance Skills:
    • Strong knowledge of electrical systems, wiring, and troubleshooting procedures.
    • Ability to inspect and repair common electrical problems (e.g., faulty switches, circuits, lighting issues).
    • Familiarity with electrical equipment maintenance and the operation of tools such as multimeters, voltmeters, and circuit testers.
    • Basic understanding of building management systems and HVAC systems.
    • Knowledge of electrical safety standards and regulations.
    • Experience with basic wiring, power distribution, and control systems for office and facility needs.
  • IT and Facility Management Skills:
    • Basic understanding of IT systems, including maintaining office equipment such as computers, printers, and network hardware.
    • Ability to conduct minor repairs or coordinate with service providers for complex technical issues.
    • Familiarity with building management systems for monitoring electrical usage and energy efficiency.

Qualifications and Requirements:

  • Proven experience as an Admin Executive or similar administrative role, with a focus on electrical maintenance.
  • Technical proficiency in electrical systems maintenance, with knowledge of safety standards.
  • Strong organizational skills and ability to handle multiple tasks at once.
  • Excellent communication and interpersonal skills.
  • Proficiency in office software (Microsoft Office, Google Workspace) and office management systems.
  • Ability to identify and troubleshoot electrical issues and perform routine maintenance.
  • Experience working with third-party service providers for electrical and facility maintenance.
  • A high school diploma or equivalent is required; a technical certification in electrical maintenance or a related field is preferred.
  • Previous experience in facility management or similar roles is a plus.
