JOB TITLE
Purchase Manager
DEPARTMENT Non-Academic
REPORTS TO Head of Administration and Operations
The Purchase Manager will be responsible for managing the procurement process, sourcing suppliers,
negotiating contracts, and ensuring cost-effective purchasing decisions. The role will also involve maintaining
strong relationships with suppliers, managing inventory levels, and ensuring that all purchases align with the
company's operational and strategic goals.
Main Task and Responsibilities:
Key Responsibilities:
1. Procurement Management:
o Oversee and manage the procurement process from requisition to purchase order
generation.
o Source new suppliers and negotiate the best deals for products and services.
o Maintain accurate records of all purchases and contracts.
2. Supplier Relationship Management:
o Develop and maintain long-term relationships with key suppliers and vendors.
o Evaluate supplier performance, ensuring that products meet quality standards and are
delivered on time.
o Handle supplier disputes or issues in a timely and professional manner.
3. Cost Control & Budgeting:
o Monitor and control procurement costs and identify opportunities for cost savings.
o Work closely with finance and other departments to ensure purchases align with budgetary
constraints.
4. Inventory Management:
o Collaborate with the inventory team to ensure appropriate stock levels are maintained.
o Forecast future purchasing needs based on consumption patterns and seasonal demands.
5. Compliance & Documentation:
o Ensure compliance with company policies, industry standards, and legal regulations.
o Maintain documentation related to purchases, supplier contracts, and other procurement-
related activities.
6. Reporting & Analysis:
o Prepare regular reports on procurement activities, cost savings, and supplier performance.
o Conduct market research to stay updated on industry trends and new product offerings.
Person Specification
Essential Experience / Qualifications Required
â Bachelorâs degree in business, Supply Chain Management, or related field.
â Proven experience in purchasing, procurement, or supply chain management.
â Strong negotiation and communication skills.
â Analytical mindset with the ability to evaluate supplier options and costs.
⢠Proficient in procurement software and Microsoft Office Suite.
⢠Strong organizational skills and attention to detail.
⢠Ability to manage multiple tasks and meet deadlines
Preferred Qualifications:

Certification in Procurement or Supply Chain Management (e.g., CIPS, CPSM).
Experience with ERP systems and procurement software (e.g., SAP, Oracle)
