Position Overview

We are seeking a proactive and highly organized Executive Assistant to provide comprehensive support to CEO. The EA will act as a strategic partner, ensuring the smooth functioning of the CEOs daily responsibilities by managing schedules, coordinating meetings, and handling communications. This role requires discretion, attention to detail, and the ability to manage multiple priorities efficiently.


Role & responsibilities


1. Calendar and Schedule Management

  • Manage and organize the CEO's daily, weekly, and monthly schedule.
  • Coordinate meetings, appointments, and events, ensuring optimal time management.
  • Anticipate scheduling conflicts and resolve them proactively.

2. Communication and Correspondence

  • Serve as the primary point of contact for internal and external communications on behalf of the CEO.
  • Screen and prioritize emails, phone calls, and other correspondence.
  • Draft and proofread emails, reports, presentations, and other documents as required.

3. Meeting Coordination

  • Prepare agendas, take meeting minutes, and follow up on action items.
  • Coordinate and arrange logistics for in-person and virtual meetings.
  • Ensure the executive is well-prepared for meetings by providing necessary documents and background information.

4. Travel Management

  • Plan and coordinate domestic and international travel, including flights, accommodations, visas, and itineraries.
  • Handle last-minute changes or issues related to travel plans.

5. Administrative Support

  • Maintain confidential records, files, and documents.
  • Assist in managing budgets, expense reports, and reimbursements.
  • Handle personal tasks for the executive, if required.

6. Relationship Management

  • Build and maintain strong relationships with key stakeholders, clients, and team members.
  • Act as a liaison between the CEO and internal/external parties.

7. Project Coordination

  • Support the executive in planning and executing key initiatives and projects.
  • Track progress, manage deadlines, and provide regular updates.

Preferred candidate profile

1. Education

  • Bachelors degree in Business Administration, Communications, or a related field.

2. Experience

  • 5+ years of experience as an Executive Assistant or in a similar role supporting senior executives.
  • Experience in a fast-paced, high-pressure environment is a plus.

3. Skills

  • Exceptional organizational and time management skills.
  • Strong verbal and written communication abilities.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools i.e. SAP (Concur) etc.
  • High degree of professionalism, discretion, and confidentiality.
  • Ability to multitask and prioritize effectively.

4. Key Competencies

  • Proactive problem-solver with attention to detail.
  • Ability to work independently and adapt to changing priorities.
  • Strong interpersonal skills and the ability to build relationships.
