Key Responsibilities:
1. Administrative Support:
• Manage and maintain the executive & calendar, including scheduling appointments,
meetings, and travel arrangements.
• Prepare and edit correspondence, reports, presentations, and other documents.
• Handle incoming and outgoing communications, including phone calls, emails, and
mail.
2. Meeting Coordination:
• Plan, coordinate, and ensure the executive's schedule is followed and respected.
• Organize and coordinate meetings, including preparing agendas, taking minutes, and
following up on action items.
• Arrange meeting logistics, such as booking venues, organizing catering, and setting
up conference calls or video conferences.
3. Travel Arrangements:
• Arrange complex and detailed travel plans, itineraries, and agendas.
• Compile documents for travel-related meetings.
4. Project Management:
• Assist in the preparation and execution of various projects.
• Track project progress and ensure deadlines are met.
• Conduct research and compile data to support project activities.
5. Communication:
• Serve as the primary point of contact between the executive and internal/external
stakeholders.
• Facilitate smooth communication within the executive's team and across the
organization.
• Manage confidential and sensitive information with discretion.
6. Office Management:
• Ensure the executives office operates efficiently.
• Manage office supplies and other resources.
• Handle expense reports and reimbursements.
7. Support to Executive Team:
• Provide support to other members of the executive team as needed.
• Assist with special events, including planning and execution.
Qualifications:
• Education:
• Bachelors degree preferred, but not required.
• Additional certifications in office administration or related fields are a plus.
• Experience:
• 5+ years of experience in an executive assistant or similar administrative role.
• Experience in managing complex schedules and projects.
• Skills:
• Exceptional organizational and time-management skills.
• Strong written and verbal communication skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other
relevant software.
• Ability to multitask and prioritize tasks effectively.
• High level of discretion and confidentiality.
• Excellent interpersonal skills and professional demeanor.
• Proactive and able to anticipate the needs of the executive.
Working Conditions:
• Full-time position, typically based in an office environment.
• May require flexibility in working hours and occasional travel.
