Job Summary:

The Assistant Manager - HR MIS in Shared Services is responsible for managing and maintaining HR data integrity, creating analytical reports, and ensuring timely delivery of HR metrics and dashboards. This role involves collaboration with cross-functional teams to streamline processes, support decision-making, and improve the overall efficiency of HR operations.

Key Responsibilities:

  1. HR Data Management:
    • Maintain and manage HR data in the system, ensuring accuracy and compliance with data privacy regulations.
    • Regularly audit data to identify and correct inconsistencies or errors.
  2. MIS Reporting & Analytics:
    • Generate periodic and ad-hoc HR reports, including headcount, attrition, recruitment, payroll, and other key HR metrics.
    • Develop and automate dashboards to provide real-time insights into HR performance.
    • Analyze trends and provide actionable insights to HR leadership.
  3. System Support & Maintenance:
    • Ensure smooth functioning of HR systems (HRIS, payroll software, etc.).
    • Collaborate with IT and external vendors for system upgrades, troubleshooting, and enhancements.
  4. Process Optimization:
    • Work closely with shared services teams to streamline and optimize HR processes.
    • Document standard operating procedures (SOPs) for data management and reporting.
  5. Stakeholder Collaboration:
    • Act as a liaison between HR, Finance, IT, and other departments to ensure alignment on data and reporting needs.
    • Support HR business partners with data-driven insights to aid strategic planning.
  6. Compliance and Governance:
    • Ensure adherence to organizational policies, labor laws, and data privacy standards.
    • Maintain confidentiality and security of HR data.
  7. Training and Support:
    • Train HR team members on MIS tools, data interpretation, and reporting standards.
    • Provide user support for HR systems and reporting tools.

Required Qualifications and Skills:

  • Education:
    • Bachelors/Masters degree in Human Resources, Business Administration, Information Systems, or a related field.

  • Experience:
    • 4 - 7 years of experience in HR MIS, HR operations, or shared services, with at least 2 years in a supervisory role.
  • Technical Skills:
    • Proficiency in HRIS platforms (e.g., SAP SuccessFactors, Workday, Oracle HCM).
    • Advanced MS Excel skills (VLOOKUP, pivot tables, macros) and experience with data visualization tools (Power BI, Tableau).
    • Familiarity with SQL or other database management tools is a plus.
  • Soft Skills:
    • Strong analytical and problem-solving abilities.
    • Excellent communication and stakeholder management skills.
    • Attention to detail and ability to handle large datasets accurately.
  • Certifications (Preferred):
    • Certification in HR Analytics, Data Analytics, or MIS tools.
    • Six Sigma/Lean process improvement certifications.

Key Performance Indicators (KPIs):

  • Accuracy and timeliness of HR reports and dashboards.
  • Reduction in data discrepancies and errors.
  • Implementation of process improvements leading to operational efficiency.
  • Stakeholder satisfaction with data quality and insights.
