Job Description

Job Overview:

As the first point of contact for our clients, visitors, and employees, the Front Desk Representative/Receptionist plays a vital role in creating a positive first impression of the company. The ideal candidate will exhibit professionalism, attention to detail, and a commitment to providing exceptional service. This role involves handling front office operations, managing communication systems, and supporting various administrative tasks to ensure the office runs smoothly.

Key Responsibilities:

  • Visitor Reception and Management:
    • Greet visitors and clients as they arrive, offering a friendly and courteous experience.
    • Ensure visitors are properly signed in and issue visitor badges as necessary.
    • Notify employees of visitor arrivals and provide escort services if needed.
    • Maintain confidentiality and professionalism when interacting with sensitive or confidential information.
  • Phone Management:
    • Answer, screen, and forward incoming calls to the appropriate department or individual in a prompt and efficient manner.
    • Respond to inquiries, take detailed messages, and ensure follow-up when needed.
    • Manage general office parcels/accounts, ensuring timely responses to inquiries and proper distribution of parcels/accounts to relevant personnel.
    • Work with accounting or finance teams to resolve any discrepancies related to payments or invoices.
  • Health & Safety Protocols:
    • Ensure compliance with health and safety regulations by keeping the front desk, conference room and meeting room area clean and organized.

Qualifications and Skills:

  • Education:
    High School diploma or equivalent required.
    Associates degree or higher in Business Administration or related field is preferred.
  • Experience:
    • Minimum of 1-2 years of experience in a receptionist, customer service, or administrative role is preferred.
    • Experience in a fast-paced office environment is a plus.
  • Communication and Interpersonal Skills:
    • Strong verbal and written communication skills.
    • Professional phone etiquette and excellent listening skills.
    • Ability to engage with a variety of individuals, from clients to senior executives, while maintaining a courteous and professional demeanor.
    • Strong customer service orientation and conflict resolution abilities.
  • Organizational Skills:
    • Excellent multitasking abilities with the ability to prioritize tasks in a busy office setting.
    • Strong attention to detail and ability to handle tasks efficiently with minimal supervision.
    • Able to manage time effectively and work well under pressure.
  • Personal Attributes:
    • Friendly, approachable, and professional demeanor.
    • Proactive attitude with a strong sense of responsibility.
    • Ability to maintain confidentiality and handle sensitive information.
    • Strong work ethic and a commitment to maintaining high standards of customer service.
