Job Description

Role & responsibilities

  • Vendor Management Compliance: Ensuring vendors adhere to company policies and contractual agreements, managing vendor relationships, and evaluating vendor performance.
  • Liaisoning:- Liaisoning with Local, State, Central Government and Legal Authorities for various company related matters/ issues/ sanctions and provisions. Liaising with Local Police, BMC, Labor Commissioner ate, Liaison with Railways and Port Authorities for various sanctions/ permissions for facilities regarding Logistics if and when required, To help acquire new locations and sites for future projects and expansion.
  • Administrative Policies Implementation: Implementing and enforcing administrative policies and procedures to ensure efficient and compliant operations across the organization.
  • Housekeeping: Overseeing housekeeping activities to maintain cleanliness and orderliness within the workplace, including coordinating with cleaning staff or contractors.
  • Liaisoning with Government/ local bodies for various compliances.
  • Administrative expenses: Budgeting/ Procurements/ Heading contract cell, Issue of contracts, orders. Finalisation of vendors/ Negotiations/ Issue of Work orders/ Quotations as required / ensuring AMC & CAMCs.
  • General Administration: Managing day-to-day administrative functions such as office operations, record-keeping, scheduling, and overseeing administrative staff, i.e. security, hotel accommodations, transport and vehicle maintenance, telecommunication, housekeeping, electrical maintenance, premise upkeep etc. To ensure that stationery requirements, licenses and approvals are maintained and updated by the Corporate Office.
  • HVAC (Heating, Ventilation, and Air Conditioning): Overseeing the maintenance, repair, and operation of HVAC systems within the facility to ensure a comfortable and safe working environment for employees.
  • Public Relations: Managing public relations activities to enhance the organization's image and reputation, including communication with external stakeholders, media relations, and community engagement efforts.
  • Maintenance: Planning and executing maintenance activities for the facility, including routine inspections, repairs, and preventative maintenance measures to ensure the facility operates efficiently and safely.
  • Pre-Arrival Preparation: Coordinate with airport authorities to ensure VIP treatment and expedited clearance for the chairman, executives and company guests.
  • Liaise with airline staff to arrange priority check-in and baggage handling services.
  • VIP Lounge Access: Arrange access to VIP lounges for the chairman or executives, providing a comfortable and private space before departure or upon arrival.
