Job description

Job Summary:

The Admin & Facilities Manager is responsible for overseeing the day-to-day administrative operations and managing facility-related functions of the construction company. This role ensures the effective management of office infrastructure, equipment, safety standards, and compliance with legal regulations. The individual will also handle procurement, vendor management, and overall office administration.


Key Responsibilities: Facilities Management:

  • Site Infrastructure:
  • Manage and maintain office premises, construction sites, and facilities, ensuring safety, functionality, and cleanliness.
  • Supervise building repairs, renovations, and maintenance activities.
  • Oversee site logistics, including space planning, equipment storage, and facility upgrades.
  • Vendor & Contractor Management:
  • Liaise with external vendors and contractors for facility maintenance services (e.g., plumbing, electrical, HVAC, security).
  • Negotiate service contracts and ensure compliance with agreed terms.
  • Monitor performance of contractors to ensure timely delivery and quality of services.
  • Health, Safety, & Environment (HSE):
  • Ensure compliance with health, safety, and environmental regulations on construction sites and office premises.
  • Implement safety policies, regular inspections, and risk assessments to ensure a safe working environment.
  • Manage emergency response procedures, fire drills, and safety training programs.

Administrative Management:

  • Office Administration:
  • Oversee daily office operations including reception, document management, and communication systems.
  • Ensure administrative policies and procedures are followed by all employees.
  • Monitor inventory levels and manage office supplies, equipment procurement, and asset management.
  • Employee Support Services:
  • Facilitate smooth onboarding and offboarding processes, ensuring employees have required resources and workspace.
  • Handle any administrative tasks related to HR, such as employee records, attendance tracking, and leave management.
  • Budget & Cost Management:
  • Prepare and manage the annual budget for facilities and administrative services.
  • Track and control expenses related to facilities maintenance, equipment purchases, and service contracts.
  • Travel & Accommodation:
  • Coordinate and manage travel arrangements, accommodations, and logistics for employees and executives, especially for site visits or outstation projects.

Reporting & Compliance:

  • Maintain accurate records of facility maintenance, vendor contracts, and equipment inventory.
  • Ensure compliance with local laws and construction industry regulations regarding facility operations.
  • Prepare regular reports on facility conditions, administrative expenses, and safety inspections.

Key Skills:

  • Strong organizational and multitasking abilities.
  • In-depth knowledge of facility management and administrative processes.
  • Excellent communication and vendor negotiation skills.
  • Ability to handle crises, solve problems, and implement improvements.
  • Familiarity with construction site safety and operational requirements.
  • Proficiency in administrative tools and software, including MS Office and facility management systems.

Qualifications & Experience:

  • Bachelors degree in Business Administration, Facility Management, or a related field.
  • 8+ years of experience in facility and administrative management, preferably in the construction industry.
  • Knowledge of health, safety, and environmental regulations.
  • Experience with vendor and contractor management.
  • Strong understanding of budgeting and cost control in facility management.
