Position Title: Manager - Facilities
Reports To: The Head of Administration
Location: Nathdwara, Rajasmand
Department: Administration/Operations

Job Overview:

The Facility Manager for the sports centre will be responsible for overseeing the day-to-day operations and maintenance of the sports centre, ensuring that the facility is safe, functional, and ready for all events. This position requires strong management skills, technical expertise in building operations, and the ability to handle complex logistics related to sporting events, concerts, and other large-scale gatherings.

Key Responsibilities:

  1. Facility Operations Management:
    • Oversee the overall day-to-day operation and maintenance of the sports centre facilities.
    • Develop and implement policies and procedures to ensure the efficient operation of the sports centre.
    • Manage facility scheduling, including coordination of events, maintenance activities, and preparation for future events.
    • Ensure compliance with all safety and health regulations, including local, state, and federal laws.
    • Perform regular inspections to identify issues and ensure the facility is well-maintained.
  2. Maintenance & Upkeep:
    • Oversee all preventive and corrective maintenance programs for the sports centre, including HVAC, plumbing, electrical systems, lighting, and seating areas.
    • Manage the cleaning and janitorial services to maintain high standards of cleanliness and hygiene.
    • Ensure the proper functioning of the sports centres turf or playing surfaces, field equipment, and sports centre amenities (e.g., restrooms, concessions).
    • Supervise the groundskeeping and landscape maintenance around the sports centre.
  3. Team Management & Staff Coordination:
    • Manage a team of facility staff, including maintenance workers, custodians, security personnel, and other operational staff.
    • Hire, train, and evaluate staff performance, ensuring a high level of competency and efficiency.
    • Coordinate staffing requirements for events, including set-up, tear-down, and post-event clean up.
    • Develop and implement training programs to ensure all staff are up-to-date on facility policies, emergency procedures, and best practices.
  4. Event Support:
    • Coordinate with event organizers to ensure the facility is set up to meet their needs, including seating arrangements, staging, and technical requirements.
    • Provide on-site support during events to ensure the smooth operation of all facilities.
    • Work closely with vendors, contractors, and event teams to ensure that all equipment and materials are delivered and set up on time.
  5. Budgeting & Financial Management:
    • Develop and manage the facility’s annual budget for maintenance, staffing, and operational expenses.
    • Monitor and control costs related to facility operations, ensuring efficient use of resources.
    • Prepare cost estimates for special projects or repairs and work with the finance department to secure approval.
  6. Safety & Security:
    • Ensure that the sports centre complies with safety standards, including crowd control, emergency exits, fire safety, and general facility security.
    • Oversee the implementation of security measures during events, including coordination with security staff and local law enforcement.
    • Develop emergency response plans for medical emergencies, fire evacuations, and other potential incidents.
    • Monitor and enforce the proper use of safety equipment and gear during events and routine maintenance.
  7. Sustainability & Environmental Management:
    • Implement sustainable practices to minimize the environmental impact of sports centre operations, such as energy-efficient lighting and waste management practices.
    • Develop and maintain programs to improve water, energy, and waste management efficiency.
    • Work with environmental consultants and stakeholders to ensure the sports centre is compliant with green building standards.
  8. Stakeholder and Vendor Management:
    • Manage relationships with external vendors, service providers, and contractors to ensure quality and timely service delivery.
    • Negotiate contracts for services, maintenance, and capital improvements.
    • Interface with team owners, league representatives, government authorities, and other stakeholders as required.

Qualifications:

  • Education:
    • Bachelor’s degree in Facility Management, Business Administration, Engineering, or a related field.
  • Experience:
    • Minimum of 7 years of experience in facilities management, with at least 3 years in a managerial role.
    • Previous experience working in a sports venue, sports centre, or large public facility is highly preferred.
  • Skills & Abilities:
    • Strong leadership and people management skills.
    • Ability to manage multiple priorities and tasks in a fast-paced environment.
    • Excellent communication and interpersonal skills to work with a diverse team and various stakeholders.
    • Strong technical knowledge in building systems, maintenance, and safety protocols.
    • Knowledge of event planning and coordination.
    • Proficiency in facility management software and general office applications (Excel, Word, etc.).
    • Strong problem-solving skills and the ability to think on your feet during high-pressure situations.
    • Knowledge of budgeting and financial management.
  • Physical Requirements:
    • Ability to work long hours, including evenings, weekends, and holidays, especially during events.
    • Ability to lift and carry items up to 15 kilograms and perform occasional physical tasks as needed.

Work Environment:

  • This position is based at a large sports centre or venue, which includes both office and outdoor environments.
  • The work environment can be fast-paced, especially during major events, with varying levels of noise, temperature, and crowd activity.
