We are seeking a seasoned Executive Assistant with a proven track record in delivering exceptional administrative support at the highest level.


Job Summary:
The Executive Assistant to the Managing Director (MD) plays a pivotal role in ensuring the seamless operation of the office. This position involves conducting in-depth research, preparing detailed reports, handling sensitive information requests, and managing essential clerical duties, including drafting correspondence, coordinating conference calls, and organizing meetings. The ideal candidate will possess exemplary organizational skills, impeccable discretion, and the foresight to anticipate the needs of the MD, thereby contributing to the overall efficiency and success of the organization.


Key Responsibilities:

  • Administrative Support:
    • Manage and maintain the MD’s calendar, including scheduling appointments, meetings, and travel arrangements.
    • Coordinate and manage executive-level meetings, including preparing agendas, taking minutes, and following up on action items.
    • Screen and prioritize emails, phone calls, and other communications, ensuring important matters are brought to the MD’s attention promptly.
    • Prepare and edit correspondence, reports, presentations, and other documents as required by the MD.
    • Handle confidential information with discretion and professionalism.
  • Project Management:
    • Assist the MD with project management tasks, including tracking project progress, deadlines, and deliverables.
    • Coordinate with internal and external stakeholders to ensure projects are completed on time and within scope.
    • Conduct research and gather information for special projects as directed by the MD.
  • Relationship Management:
    • Act as a liaison between the MD and other executives, departments, and external stakeholders.
    • Develop and maintain strong relationships with key contacts, ensuring smooth communication and collaboration.
    • Represent the MD in meetings and communications when necessary.
  • Office Management:
    • Oversee the office’s administrative operations, including supplies management, document filing, and office maintenance.
    • Ensure the office is well-organized, efficient, and equipped to support the MD’s needs.
  • Event Coordination:
    • Plan and coordinate company events, meetings, and conferences, ensuring all details are managed effectively.
    • Assist in the preparation and coordination of company presentations and reports for events.

Qualifications:

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • 6+ years of experience as an Executive Assistant or in a similar role, preferably supporting senior executives.
  • Excellent organizational and time management skills, with the ability to manage multiple priorities.
  • Strong verbal and written communication skills, with a high level of attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Discretion and confidentiality in handling sensitive information.
  • Ability to work independently and as part of a team in a fast-paced environment.

Preferred Skills:

  • Familiarity with the industry and business operations relevant to the MD’s role.
  • Knowledge of other languages, depending on the geographic location and business needs.
