The IT Asset Coordinator is responsible for managing the lifecycle of IT assets within the organization, ensuring their accurate tracking, procurement, distribution, and disposal. This role ensures that all hardware and software assets are effectively utilized, compliant with licensing agreements, and properly maintained.

Roles and Responsibilities:-

• IT Asset Management:
  
• Track and manage the lifecycle of all IT assets, including computers, servers, software, mobile devices, and network equipment.
• Maintain accurate records of all IT assets in the organizations asset management system.
• Ensure proper labeling, categorization, and inventory of all IT assets.
• Monitor asset usage and recommend upgrades, replacements, or disposals as required.
• Procurement & Distribution:
  
• Work closely with the procurement team to acquire new IT assets, ensuring timely and accurate orders.
• Coordinate the distribution and setup of IT equipment to employees, ensuring they are properly configured and operational.
• Oversee the return process of assets from employees who leave the company or change departments.
• Software & Licensing Management:
  
• Track software licenses and ensure compliance with licensing agreements.
• Maintain records of software installations, renewals, and updates, ensuring the organization remains compliant with legal and contractual obligations.
• Assist in software license audits and address any discrepancies.
• Asset Auditing & Reporting:
  
• Conduct regular physical audits of IT assets to ensure the inventory is accurate and up to date.
• Prepare and generate reports on asset status, utilization, and maintenance.
• Perform periodic audits to verify that the assets are being used appropriately and in compliance with organizational policies.
• Maintenance & Support:
  
• Coordinate regular maintenance, repairs, and upgrades for IT assets, working with IT support teams and external vendors as needed.
• Track warranty and service agreements for IT equipment and ensure renewals are timely.
• Disposal & Recycling:
  
• Manage the secure disposal or recycling of obsolete or broken IT equipment, ensuring data security and compliance with environmental standards.
• Ensure proper decommissioning of assets, including wiping data from devices before disposal.
• Vendor & Supplier Management:
  
• Collaborate with IT vendors and service providers to ensure timely delivery, maintenance, and support for IT assets.
• Track vendor performance and assist with contract renewals for IT-related services and hardware.
• Compliance & Security:
  
• Ensure all IT asset management practices comply with organizational policies, industry standards, and regulatory requirements (e.g., data protection and security protocols).
• Assist in implementing security measures to safeguard IT assets and prevent theft or misuse.
