Job Description: IT Asset Coordinator

Position Overview

The IT Asset Coordinator is responsible for the management, tracking, and optimization of IT hardware and software assets throughout their lifecycle. This role ensures compliance with organizational policies and licensing agreements while supporting procurement, inventory management, and audits. The IT Asset Coordinator works closely with IT, procurement, finance, and other teams to maintain accurate records and ensure operational efficiency.

Key Responsibilities

1. Asset Management
   
• Maintain an up-to-date inventory of all IT assets, including hardware, software, and licenses.
• Track the entire lifecycle of IT assets, from procurement to disposal.
• Update and manage the IT Asset Management (ITAM) system to ensure data accuracy.
• Monitor asset usage to ensure compliance with company policies and licensing agreements.
2. Procurement and Vendor Coordination
   
• Assist in the procurement process for IT hardware and software.
• Coordinate with vendors for purchase orders, deliveries, and warranty claims.
• Negotiate and track service agreements, warranties, and licensing renewals.
3. Audits and Compliance
   
• Prepare and support internal and external IT asset audits.
• Ensure compliance with software licensing agreements and organizational policies.
• Identify and address discrepancies in asset records during audits.
4. Reporting and Documentation
   
• Generate regular reports on asset utilization, inventory levels, and compliance status.
• Document asset management processes, policies, and procedures.
• Provide stakeholders with insights on cost optimization and asset efficiency.
5. Collaboration and Support
   Work closely with IT support teams to manage hardware deployments and asset allocation.
• Collaborate with finance teams for asset capitalization and depreciation tracking.
• Provide end-user support related to IT asset-related inquiries or issues.

Qualifications

1. Education
   Bachelors degree in Information Technology, Business Administration, or a related field.
2. Experience
   2+ years of experience in IT asset management, inventory control, or a related role.
3. Skills
   
• Proficiency in IT asset management tools (e.g., ServiceNow, Ivanti, Asset Panda).
• Advanced Excel skills (pivot tables, formulas, and data visualization).
• Strong understanding of IT hardware and software lifecycle management.
• Familiarity with ITIL processes, especially in asset and configuration management.
• Strong organizational and problem-solving skills.
