Sales Coordinator (Order Handling)

Sales Order Handling:

• On receipt of the order, to check all items-description, technical specs and commercial terms like price, qty, delivery, taxes, payment, etc.
• In case of any deviation, communicate with the customer after consultation with respective sales person to get amendment of the order.
• To acknowledge the order to the customer after confirmation of techno commercial specs and terms.
• To process the order internally by registering the order in our system and inform to purchase/ logistics department to arrange supply of goods to the customer in time.
• To get Order acknowledgement [OA] no. from the purchase person and make entry of the same into the system along with delivery date/period as offered by manufacturer/supplier/contractor
• To follow up with purchase/ logistics till the goods are supplied to the customer.
• To draw attention of the sales engineer-Head in case of delay in arranging the goods for supply.
• To reply or send all required documents to customer (e.g. AID Certificate, GST Registration, MSME Registration, Vendor Registration Form, etc..)
• All communication [oral/mail] with customer related to Order, Dispatch documents, Payment reminders, Goods Rejection, Quality Complaints etc..

Quality Complaint/ Goods Return Handling:

• To inform Sales Engineer/CSE/Sales Executive to attend to Quality Complaint received from Customer. To give quick and short reply to Customer for Quality Complaint.
• To follow up Sales Engineer till final conclusion of complaint.
• To arrange to collect goods through logistics team if goods are returned.
• To collect all goods returned documents from stores , check and submit to Accounts for entry of GOODS RETURN into system
• To indent and arrange for replacement of goods as agreed by Sales Team to Customer. Follow up with Purchaser to get goods in time for replacement.
• Inform to customers when goods shall be replaced or if no replacement request customer to short close the PO.

Sales Invoice Handling :

• To mail/dispatch the sales Invoices along with required documents as per terms of the order.
• To follow up for payment with the customer till receipt of the full payment.
• To draw attention of the sales engineer-person and sales head in case of abnormal delay in getting payment.
• To report summary of outstanding payment to sales head as per guideline given.

Mail Marketing :

• To mail and send product and service leaflets brochures to the customers as guided by sales persons time to time.
• To keep data/ contact details of records of the customer for above purpose.
• To report periodically for the marketing activities done.
