Position Overview:

The Procurement and Logistics Manager is responsible for managing the acquisition of goods and services, overseeing logistics operations, and maintaining strong vendor relationships to ensure smooth vessel operations. The role involves coordinating with multiple departments, suppliers, and logistics partners to guarantee the timely, cost-effective, and quality delivery of materials, equipment, and services essential for the companys operations.


Key Responsibilities:

Procurement Management:

  • Source and procure spare parts, equipment, fuel, lubricants, and other necessary supplies for vessels.
  • Develop procurement strategies to ensure timely and cost-effective acquisition of quality goods and services.
  • Negotiate contracts and agreements with suppliers and service providers to secure competitive pricing, favorable delivery terms, and payment conditions.
  • Evaluate supplier performance and manage vendor relationships, ensuring consistency and quality.
  • Ensure compliance with procurement policies and all relevant legal requirements, including maritime-specific regulations.
  • Manage procurement records, purchase orders, and supplier contracts through ERP or procurement software.

Logistics Coordination:

  • Plan and coordinate shipments of goods (spare parts, provisions, crew supplies) to and from vessels, ensuring timely delivery in good condition.
  • Manage logistics operations, including transportation, warehousing, and inventory control.
  • Coordinate with customs agents and regulatory bodies to ensure compliance with international shipping laws and customs regulations.
  • Oversee the global movement of vessel spares and supplies, ensuring cost-effective and efficient transportation.
  • Track shipments and coordinate with ports, agents, and logistics partners to ensure on-time delivery.
  • Address and resolve logistics-related issues, including delays, customs clearance challenges, and transport disruptions.

Vendor and Supplier Relationship Management:

  • Build and maintain strong relationships with suppliers, service providers, shipyards, and logistics companies.
  • Develop a network of reliable and qualified global suppliers to meet procurement needs.
  • Regularly review supplier performance and renegotiate contracts to improve service levels and reduce costs.

Budget and Cost Control:

  • Prepare and manage procurement and logistics budgets, ensuring that costs are controlled while achieving savings where possible.
  • Conduct market analysis and price benchmarking to ensure best value for purchases.
  • Report key metrics such as cost savings, supplier performance, and inventory turnover to senior management.

Inventory and Stock Control:

  • Monitor and manage stock levels of spare parts, provisions, and consumables, ensuring optimal inventory levels to avoid shortages or overstocking.
  • Implement and maintain effective inventory management systems, ensuring accurate stock records.
  • Coordinate with vessel managers and technical teams to anticipate future needs and ensure timely procurement and delivery of required supplies.

Regulatory Compliance:

  • Ensure all procurement and logistics activities comply with international shipping laws, maritime regulations, and environmental standards.
  • Liaise with classification societies, flag states, and regulatory bodies to ensure procured items meet necessary safety and quality standards.

Desired Profile:

  • Qualifications: Bachelor's degree in Mechanical Engineering or a related field. Professional certification in procurement or supply chain management is advantageous.
  • Experience: Minimum of 5-7 years of experience in procurement and logistics, preferably within the maritime or shipping industry.
  • Skills & Competencies: Strong knowledge of procurement processes, supply chain management, and logistics within the maritime industry. Familiarity with international shipping laws, maritime procurement practices, and customs procedures. Experience in sourcing marine equipment, spare parts, provisions, and services. Strong negotiation, contract management, and supplier relationship skills. Ability to manage multiple projects and work under pressure to meet tight deadlines. Excellent communication and interpersonal skills, with the ability to build and maintain relationships with both suppliers and internal stakeholders. Strong problem-solving skills and attention to detail, particularly in handling complex logistics and supply chain challenges. Proficiency in procurement and logistics management software, ERP systems, and inventory management tools.
