Business Operations Analyst

Role Overview

We are looking for a proactive individual to take on the role as Business Operations Analyst on our team. Reporting directly to the Head of Customer Success, you will be responsible for:
Manage & Maintain Hubspot (and adjacent e.g. Amplemarket, Introw)

• Own all organization settings and users within our Hubspot instance
• Regular Hubspot maintenance: cleaning, tagging of contacts, adding verticals and defining owners
• Create and follow up on tasks assigned to team members regarding data, lists
• Syncing of lists across platform where needed
• Create and maintain reports for sales, hardware projections, and marketing
• Create and maintain reports for marketing campaign performance and flow of leads to sales qualified leads
• Create new marketing email campaigns and templates
• Create lead capture forms and campaign landing pages
• Keep library of documents, files, and shareable links current

Manage & Maintain Dealhub

• Regularly update and create product SKUs as needed to support sales team efforts and new product development
• Customize and maintain sales playbook, quote templates and DealRoom templates
• Support sales team in creation of quotes, tracking customer signatures, ensuring customer contact and financial details are correct

Invoicing, Billing & Operations

• Confirm customer billing details and correct invoice delivery contacts
• Create and send invoices to customers
• Coordinate with finance team on tracking accounts payable
• Follow-up with customers on delinquent payments and coordination with sales team on collections
• Regular reporting on accounts receivable & invoice status
• Keep track of contract term lengths and engage Account Executives on ensuring renewals are taking place
• Maintain latest contracts in Docusign as templates

Qualifications:

• Bachelors degree in Business, Marketing, or a related field
• 2+ years experience with Hubspot. Knowledgeable in configuration, customization, report generation, and automation
• Expertise with Excel pivot tables, charting, and macros in a requirement. Experience with BI tools and reporting is a bonus
• Proven experience in business or sales operations, channel sales, partnership management, or a related role in a technology or SaaS company
• Strong organizational skills with experience in data reporting, business process analysis, and identifying process improvements
• Self-starter mentality with the ability to work independently and effectively prioritize and manage multiple projects simultaneously
• Strong written skills and ability to communicate professionally with customers
• Willingness to work a schedule that allows for overlap with US Eastern Standard time business hours
