Description of role and key responsibilities
Facilities Management :
Oversee the maintenance and security of all offices, guest houses, equipment, and other facilities.
Manage vendor relationships and contracts related to facilities, utilities, and maintenance services.
Ensure compliance with health, safety, and environmental regulations.
Administrative Oversight:
Oversee the day-to-day functioning of the administration department, ensuring seamless operations across all business units.
Ensure all administrative activities comply with regulatory standards and internal policies.
Develop and enforce protocols to mitigate risks associated with administrative functions.
Cafeteria Management
Coordinate and Support in Cafeteria Vendor selection process.
Formation of Cafeteria Committee and ensuring periodic meetings
Continuous follow-up and coordination with the Vendor to ensure quality of services.
Resolution of the complaints of employees.
Event Management :
Coordinate and oversee corporate events, meetings, and conferences, ensuring all logistics such as venue setup, catering, seating arrangements, and technical support are in place.
Stakeholder Engagement :
Collaborate with various stakeholders to understand their expectations and drive the administrative team to meet these needs effectively.
Serve as a key point of contact for internal and external stakeholders on administrative matters.
Budgeting and Reporting:
Manage the budget for facilities Administrative operations. Track expenditures, prepare financial reports, and recommend cost-control measures to maintain budgetary discipline.
Vendor Management:
Scout for new vendors and negotiate agreements to ensure competitive pricing and high-quality services.
Evaluate vendor performance regularly and seek partnerships that enhance operational capabilities.
Process Improvement:
Analyze current administrative/ facilities processes and implement innovative frameworks to optimize workflow and productivity.
Recommend and implement automation solutions to reduce time spent on routine tasks and improve efficiency.
Technology Integration:
Implementing and utilizing technology for efficient operations
Managing systems for access control, surveillance, and communication.
Staying updated on emerging technologies relevant to facility.
