Role & responsibilities


Guest relation Executive


Preferred candidate profile

To perform a variety of administrative and clerical tasks. As a Guest Relation Executive, the person will be the first point of contact for the company and will provide administrative support across the organization. She will handle the flow of people through the business and ensure that all receptionist responsibilities are completed accurately and delivered of high quality and in a timely manner.   • Serve visitors by greeting, welcoming, directing and announcing them appropriately
  • Answer, screen and forward any incoming phone calls while providing basic information when needed
  • Receive and sort daily mail/deliveries/couriers
  • Maintain security by following procedures and controlling access (monitor logbook, issue visitor badges)
  • Update appointment calendars and schedule meetings/appointments
  • Perform other clerical receptionist duties such as filing, photocopying, collating, faxing etc.
  • Coordinating the interview process with Recruitment Team.
  • Inventory Management
  • Vendor Management
  • Updating Leave Cards (Maintaining the manual document of the Employees applying for leaves).
  • Assisting the HR team in Joining and exit formalities.
  • Management of all office functions in association with PM/EM.
  • Customer relations management.
  • Responsible for complete general administration which covered security, Facility, Building Maintenance, fire safety, Parking etc. compliances related to Lift NOC, fire etc.
  • Responsible for Housekeeping, Pantry, and vendors.
  • Responsible for transport management and tracking the vehicles.
  • Receiving and assigning complaints to the maintenance personnel concerned.
  • Ensuring entry and completion records of complaints on a daily basis.
  • Close liaison with clients office for all correspondences (Viz. Issue of Notices, circulars, etc.)
  • Ensuring all administrative paperwork is accurate, complete and submitted on a timely basis.
  • Management of stationery and office consumables.
  • Daily logging and maintaining records of work done.
  • Timely escalation of suggestions/observations to improve the maintenance system and procedures.
  • Managing Clients visit and company events arrangements
