Role Summary
The Internal Operations Manager will play a pivotal role in establishing an effective internal operations team that aligns with the organization s size, needs, and strategic priorities. This role involves assessing capacity, streamlining functional alignment, and fostering a collaborative and high-performing team culture and supporting operational excellence.

The Internal Operations Manager will be responsible for supporting the smooth and efficient running of internal operations across the organization, including administrative support, travel logistics, onboarding coordination, and office management across all locations. This role will manage vendor relationships, improve operational processes, and oversee the internal information inbox and team logistics, ensuring an optimal experience for employees and seamless support for leadership.

You will be responsible for:

1. Establishing Internal Operations Function at GBL
  • Team Structure & Setup
    • Collaborate with the leadership team to design and implement a team structure that aligns with organizational goals.
    • Assess existing operational frameworks and identify opportunities for optimization.
    • Develop team compositions and focus areas to support growth strategies.
  • IT Support
    • Understand the organizations IT needs and collaborate with procurement to establish effective IT support for all employees.
  • Travel Support
    • Partner with procurement to develop a robust travel support function that addresses GBL s travel requirements.
2. Administration & Diary Management
  • Diary & Schedule Management
    • Oversee scheduling and coordination for leadership team calendars, prioritizing critical meetings and optimizing time management for both internal and external engagements.
  • Inbox & Information Management
    • Manage the organization s general information inbox, responding promptly to inquiries and escalating complex requests as needed.
  • Reimbursement & Expense Processing
    • Process reimbursement requests for the Co-Founders and Managing Director, ensuring timely and accurate submissions.
3. IT Logistics
  • IT & Office Equipment Management
    • Serve as the primary point of contact for IT and equipment needs, coordinating with third-party IT vendors to address and resolve technical issues efficiently.
4. Travel Desk & Office Management
  • Travel Arrangements
    • Manage and coordinate travel arrangements for employees across locations, including flights, hotel bookings, and ground transportation.
    • Maintain a vendor list to ensure cost-effective travel solutions.
  • Office & Vendor Management
    • Oversee day-to-day office operations and vendor management, ensuring smooth office functionality, supplies, and maintenance for all locations.
5. Organizational & Event Support
  • Event & Meeting Support
    • Plan and coordinate internal events and team meetings, including logistics for team meetups, workshops, and annual retreats, handling venue selection, catering, and accommodations.
    • Organize business cards, materials, and other event logistics as required.
  • Process Improvement & Budget Oversight
    • Identify and implement process improvements to optimize operational efficiency.
    • Monitor and manage budgets for office supplies, travel, and event logistics, ensuring cost-effective solutions across all operations.

This role will require you to collaborate effectively, openly, and empathetically with other People functions, finance and other teams at GBL as required.

Skills and Experience:
  • Educational or working experience in Business Administration, Operations, or a related field.
  • 5-7 years of experience in internal operations, office management, or administrative support.
  • Strong organizational, project management, and vendor management skills.
  • Excellent communication skills and a procative approach to problem-solving.
  • Experience with travel coordination, office management, and event logistics across multiple locations.
  • Prior experience setting up teams and managing people
  • Proficiency in Microsoft Office Suite
