Ward Secretary

Role & responsibilities

• Act as the first point of contact for patients, attendants, and healthcare professionals in the ward.
• Manage the patient admission and discharge processes, ensuring all documentation is completed accurately and timely.
• Maintain patient records and update information in hospital management systems.
• Coordinate with the nursing and medical staff to schedule procedures, tests, and appointments for patients.
• Communicate effectively with patients and their families, providing information and guidance about ward services and processes.
• Handle internal and external calls, emails, and inquiries regarding patient information and administrative concerns.
• Manage inventory in the ward, such as supplies, consumables, and equipment, ensuring adequate availability.
• Ensure the cleanliness, organization, and safety of the ward premises.
• Assist in generating daily reports, billing, and any other documentation required by the ward.
• Address patient grievances professionally and escalate issues to the appropriate authorities when necessary

Preferred candidate profile

Education: A graduate degree in any discipline (preferably in hospital/healthcare management or related fields).

Experience: 0 to 3 years of experience in a similar role or administrative experience in a hospital or healthcare setup.

Skills:

• Strong communication and interpersonal skills.
• Proficiency in hospital management software and Microsoft Office.
• Ability to multitask and work under pressure.
• Problem-solving and organizational skills.
• Basic knowledge of medical terminology is an added advantage.
