Coordinator - GMCE India COE

What you will do

Responsible for supporting management team with Pre/Post hiring & recruitment activities, new hire onboarding / scheduling trainings /etc.
Support in coordinating & setting up workshops, training & meeting conf rooms, etc.
Assist management team with cross collaboration activities across COE facilities and support with vendor management activities.
Travel related: Coordinate with Managers & their team members for any admin related queries i.e. hotel booking, cab booking, tickets, etc., in consultation with travel agent BCD travels/Concur.
Trainings/Meetings: Arrange requirements for Workshops/Trainings/Team meeting such as stationery, lunch/snacks, conference room bookings, coordinating with facility team for arrangements, assisting the visitors for any access related requirements, etc. and always providing support to attendees.
Track and follow-up with Managers and their team members on completion of their FLC courses, e-time reporting, QDM courses, asset management & audit for respective teams, etc.
Assist in coordinating various events such team lunch and any other celebrations.
Finance related: Process POs, submit, coordinate and follow-up on invoices of vendors.
T&E expense report submission support for management team members; plus, take necessary approvals as per company policy & function process.
Attendance weekly report generation & distribution with mgt teams.
Email groups management for the relevant function.

Ability to manage confidential information.
SPOC/PA administrator for Company credit cards.
Maintain various trackers required for the team, various contacts, etc.
Keep updated with all FedEx policies to ensure 100% compliance.
Completes ad-hoc administrative tasks as requested by Managers.
Maintains supplies and resources and ensures technical/facilities services are available via the relevant supporting departments. Maintains necessary online /hard copy filing system as required, including ensuring data of a sensitive or confidential nature is protected.
All above and any other activities must be done after prior consultation with the respective EA

You will be a great fit if you

PC proficient with ability to use Microsoft Office Software, including but not limited to, Word, Excel, and PowerPoint. Ability to collate excel reports and power point slides for management for various meetings & reporting.
Highly proficient typing/data entry skills, good time management, organizational, multi-tasking, and interpersonal skills.
